The Programs Assistant provides assistance to the project Director, and technical staff leads in coordinating the day-to-day activities of the team.
The Program Assistant responsibility includes supporting activity budget development of planned activities as assigned.
This position is also responsible for organizing meetings, coordinating consultant agreements and disseminating program materials.Support development of detailed activity budgets and tracks team expenditures, reviews budget discrepancies with the supervisor and provides support during budget creation and revision processes
Roles and Responsibilities
Provides administrative support including scheduling and coordinating meetings and conferences, taking notes, setting-up meeting rooms, making copies, travel planning, and other tasks as requested
Assists team members by tracking activity deadlines and drafting or reviewing reports, service contracts, program work plans, and other related documents as needed
Support the production of documents, including agreements, contracts, disbarment schedules, project timelines and work plans, activity reports and financial and narrative reports during contract period
Support Monitoring and evaluation of each activity and reports to verify that the documentation (registration sheets, attendance lists, pre- and post-tests, and programs) and information requested in reports are entered on time, accurately, and are included in the activity reports
Monthly updates of the Management Monitoring Tool as the activities are implemented.
In collaboration with the Program Advisor, may provide support in the monitoring of the implementation of the national and county level activities and work plans by conducting a monthly review of plans versus results and documenting the variance.
Collaborates with the project Director and Programs Advisors in reference to unit meetings, shared tasks, and logistics
Works with the Finance Advisor in reference to budgets, financial reports, project expenditures, claims, and other financial issues
Reports to the Program Advisor in reference to document requests, workshop planning and logistics, program implementation, and administrative issues
Manages relationships with external entities including consultants, travel agents, and representatives of partner reproductive health organizations
Performs other duties as assigned
Education, Experience and Certifications
Bachelor’s degree a must.
3 years’ experience in a relevant position required
Experience in event planning/ coordination, administration, and/or public health is preferred
Essential Soft Skills
Working knowledge of computer software, Microsoft Office
Strong interpersonal and communications skills
Working knowledge of forecasting project budgets
Skilled in strategic planning, monitoring and evaluation
Working knowledge of women’s sexual and reproductive health and rights
Experience in managing a busy office and supervising staff.
