Summary of position:Under the general supervision of the Foreign Policy and Diplomacy (FPDS) Program Manager, provides administrative assistance to the FPDS section as a whole. This includes:
Managing the agenda/schedule of the Program Manager
  • As instructed by the Program Manager, performing operational transactions for the FPDS section’s budget
  • Processing various types of payments for the FPDS program
  • Making travel arrangements and processing travel claims for the FPDS program
  • Arranging meetings and hospitality services, and processing hospitality claims for the FPDS program
  • Supporting the Program Manager and the FPDS section as a whole on events
  • Acting as a point of contact for visitors and callers
  • Disseminating communications materials including daily press clippings
  • Filing, sorting, and redirecting as appropriate mail and email
  • Preparing correspondence
  • Assisting other programs as required
  • Performing other duties either on an ad-hoc or an ongoing basis

    Essential qualifications:

    Candidates will initially be screened on the essential qualifications below and must explicitly demonstrate in their cover letter and CV how they meet these criteria.
    We recommend that the cover letter address each of the points qualifications below as a separate sub-heading, and provides sufficient information to confirm that the candidate meets each criterion. Only those candidates who meet all the essential qualifications and demonstrate this clearly within their application will then proceed to the next stage of the process.

    Education:

  • A degree from an accredited university or college
  • Copies of educational qualifications will be required at the interview stage of the process.

    Experience:

    The candidate must have at minimum 2 years of
    *recent experience delivering administrative support in a professional office setting.
    *Recent experience is defined as within last 4 years.

    Language requirement:

  • Fluency in English (speaking, reading, and writing)
  • Fluency in Amharic (speaking, reading, and writing)

    “Fluency” is defined as meeting the reference level descriptions of level C1 in the Common European Framework of Reference for Languages (CEFR), which can be accessed at https://www.coe.int/en/web/common-european-framework-reference-languages/table-1-cefr-3.3-common-reference-levels-global-scale. This requirement will be tested and will be initially assessed through the quality of the cover letter and candidate’s CV.

    Rated Requirements:

    Candidates must also meet the Rated Requirements shown below, which will be assessed through any of the following: cover letter, written test, oral communication, interview, and reference checks. We recommend that, wherever possible, the CV and cover letter be adapted to allow the candidate to demonstrate how he or she specifically meets each of the rated requirements below.

    Knowledge:

  • Knowledge of general office procedure and practices, including correspondence

    Abilities/Competencies:

  • Ability to manage multiple tasks, prioritize work, and be flexible and organised under pressure
  • Attention to detail and precision in the performance of basic financial computations and transactions
  • Ability to work with computer software, such as Outlook, Excel, Word, and databases
  • Ability to carry out research including effective open-source and internet searching
  • Ability to work effectively within a team, independently, and with supervisors
  • Ability to handle sensitive and confidential situations; strong judgement, tact and discretion

    Asset Qualifications:

    The Embassy has the right to further screen on Asset Qualifications and as such, preference
    may be given to candidates who have the following asset qualifications. Candidates should also clearly demonstrate in their cover letter and/or CV if and how they meet these factors:

  • Fluency in French or Afaan Oromo
  • Master’s Degree
  • Significant experience managing a budget
  • Experience dealing with Protocol and VIPs
  • Knowledge of the Ethiopian political system
  • Knowledge of the African Union

    Operational Requirements:

  • Hours of work: 37.5 hours Monday-Friday
  • Ability to work overtime occasionally outside normal working hours

    Condition(s) of Employment:

  • Obtain and maintain a security clearance (reliability status) from the Government of Canada covering the entire employment period.
  • Successful candidate must have or obtain the required documentation allowing the right to work in the Ethiopia. Documentation will be required.

    Important Notes:

    Important notes:
  • This position is open to candidates currently resident in the Ethiopia, who hold current documentation allowing them to work in Ethiopia without restriction, who meet all of the essential requirements stated and whose applications are received by the closing date.
