Org. Setting and Reporting

The United Nations Development Coordination Office (UNDCO) is the UN Office at the forefront of coordinating a collaborative contribution to the UN development system, towards its achievement of the Sustainable Development Goals.

In its Resolution A/RES/72/279, the United Nations General Assembly endorsed the transformation of the Development Coordination Office (DCO) as a stand-alone coordination office within the United Nations Secretariat. DCO provides managerial and oversight functions for the Resident Coordinator system under the collective ownership of the members of the United Nations Sustainable Development Group (UNSDG).

At the global level, DCO serves as secretariat to the UN Sustainable Development Group and as engine for the implementation of the reform of the UN development system, by supporting UN development system agencies in joining forces to respond to the 2030 Agenda and advance the SDGs.

At the regional level, DCO serves as first port of call for Resident Coordinators and their offices. They also serve with UNDP and the Regional Commissions as part of the joint secretariats for the Regional Collaborative Platforms and ensure connectivity between global and country level initiatives.

This position is located in the United Nations Development Coordination Office -Regional Office for Africa (UNDCO-ROA) at the Addis Ababa duty station in Ethiopia, and reports to the Programme Management Officer – Administration with the overall supervision of the Regional Director and Deputy Regional Director for Africa.

Responsibilities

Within delegated authority, the transport assistant will be responsible for the following duties and responsibilities:

Administrative Duties:

  • Assist in drafting various routine correspondence and responses to queries.

  • Assist in maintaining office records and establishing reference files on various subjects for the office.

  • Maintains logbooks and records on assigned vehicles.

  • Assists drivers in the preparation of overtime claims, accidents, and other reports.

  • Processes requests for office supplies.

  • Processes and obtains on behalf of the staff: UN plate numbers, driver’s licenses, vehicle insurance, and roadworthiness certificates.

  • Follows up on all vehicle-related requests, permits, and documents with various Transport Authorities.

    Day-to-day Vehicle Maintenance

  • Conducts daily checks to ensure the mechanical soundness and overall cleanliness of the assigned vehicle(s) prior to operating, by verifying and undertaking checks of the following: petrol, oil, and water levels, electrical system, brakes, tyre pressure, and condition.

  • Reports vehicle problems for appropriate action.

  • Maintains records (logs) of all journeys/trips.

  • Delivers vehicles to garages and workshops for periodic maintenance, servicing, and other required repair work.

  • Arranges and oversees roadworthiness tests for official vehicles.

    General Support Activities

  • Provide transportation services to the UNDCO Regional Director and Deputy Regional Director for Africa, DCO colleagues, and other visiting UN staff and visitors.

  • Submits requests for VIP arrangements for the Regional Director during official missions to the ECA Protocol.

  • Liaise with colleagues in the Transport Management Sub-Unit to ensure that all documents are availed.

  • Assist the team with processing the issuance/renewal of Ethiopian residence
    visas to DCO colleagues.

  • Delivers miscellaneous documents to embassies, government offices, and other locations.

    Support services for DCO functions

  • Provide backstopping services for events organized by DCO.

  • Provide transportation for VIPs and high-ranking guests of DCO during their stay in Addis Ababa.

  • Conducts meeting delegates on tours of Addis Ababa and on request, on areas such as local tourist attractions and other places of interest and general information about the country, as well as hotel rates, and historical information on Ethiopia and Addis Ababa..

  • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning, and decision making.

  • Performs other duties as assigned.

    Competencies

Knowledge of the area and the current condition of roads and highways, security, and safety awareness; familiarity with frequently traveled routes and routines of the more senior staff or the officers.   • Client Orientation: Considers all those to whom services are provided to be "clients" and seeks to see things from clients' point of view; establishes and maintains productive partnerships with clients by gaining their trust and respect; identifies clients' needs and matches them to appropriate solutions; monitors ongoing developments inside and outside the clients' environment to keep informed and anticipate problems.

    Education

  • A minimum of a high school diploma and a third-grade driving license is required.

    Work Experience

  • A minimum of three years of driving and transport-related experience is required

  • Experience in driving a variety of makes and models of vehicles, including vans and other kinds of motorized vehicles, and operating handheld radios (walkie-talkies) are required.

  • Clear concise, communication and drafting skills are desirable.

    Languages

  • English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in either language, English or French is required. Knowledge of the other is desirable. Knowledge of another UN language is desirable.
