Economic Commission for Africa Senior Supply Assistant Jobs in Ethiopia; This position is located in the Shipping Unit of the Supply Chain Management Section, Administration and Conference Management Division (ACMD), UNECA.
The incumbent is responsible for the administration and day-to-day running of the Shipping Unit under the supervision of the Chief, Supply Chain Management Section.
Duties include planning, coordinating, monitoring, and supervising import/export of consignments, advising on shipping/insurance/customs, serving as IPSAS focal point, and managing ERP-SAP logistics processes.
Responsibilities
Day-to-Day Running and Supervision of the Shipping Unit:
Plan and assign work programs and tasks to Shipping Assistants
Coordinate duty-free import/export and insurance of official goods, vehicles, and staff personal effects
Ensure shipments contain approved materials only
Prepare correspondence to government ministries and agencies (Foreign Affairs, Transport, Customs, Telecom, etc.)
Supervise preparation of tender/bid documents for services
Prepare weekly status reports, budget estimates, statistics, and statements
Verify petty cash disbursements and check invoices for services rendered
Provide in-house training for staff
Organize diplomatic declarations for duty-free purchases and fuel/lubricants
Supervise and evaluate staff performance; provide policy input to Section Chief
Liaise with airlines/transport companies to ensure suitability and compliance
Brief sub-regional office staff on shipping/insurance rules and procedures
Processing of Organizational and Personal Shipments:
Arrange documentation and permits for clearance/export of goods (vaccines, medicines, communications equipment, etc.)
Ensure consignments have required documents for government approval
Liaise with parties to secure/amend documents
Arrange insurance for consignments and follow up on claims
Inbound Goods/Incoming Shipments:
Follow up on diplomatic declarations to minimize demurrage charges
Issue clearing instructions to carriers and agents
Assign documents to Shipping Assistants for clearing activities
Coordinate with procurement team and freight forwarders to meet delivery dates
Ensure imported goods are cleared and delivered promptly with confirmation of receipt
Outbound Goods/Outgoing Shipments:
Assign cases to Shipping Assistants for execution
Assist
staff in exporting personal effects (household goods, vehicles) by advising on privileges and obligations
Solicit quotations for packing/dispatch; select packers and arrange surveys
Ensure goods are dispatched economically and safely; follow up with forwarders
Prepare briefs to Property Survey Board for unsuccessful insurance claims
Dispatch correspondence to consignees with shipment details
Assist with data collection, analysis, and preparation of reports/dashboards
Support visualizations and update information materials (web pages, brochures)
Other Duties:
Perform emergency or special tasks as assigned by Chief of SCMS

Knowledge of supply, purchasing, logistics policies and regulations
Comprehensive knowledge of INCOTERMS 2010 and RIR process
Ability to maintain records, prepare reports, and apply UN financial rules
Skill in data analysis, modeling, and interpretation for decision-making

Education
High school diploma or equivalent required
Degree in Business Administration, Supply Management, or Accounting desirable
Work Experience
Minimum 10 years of progressively responsible experience in supply management, customs, insurance, or logistics required
Experience in customs clearance and delivery of goods by air, land, and sea required
Private sector experience in comparable institutions desirable
Languages
English required
French desirable
