Economic Commission for Africa Intern-Meeting Services Assistants Jobs in Ethiopia; The internship is located in the Publications & Conference Management Section (PCMS), ACMD. Interns will work under the overall supervision of the Chief, Conference Planning and Coordination Services Unit (CPCSU), and direct supervision of Meeting Planning and Meeting Services Assistants. The internship is full‑time (34 hours per week), for six months, with opportunity for extension depending on the needs of the Section.

Responsibilities

  • Assist in daily and weekly programme preparation for committees and meetings/conferences.

  • Prepare and organize sets of official documentation in six official languages for distribution.

  • Inform relevant offices/persons of programme changes.

  • Ensure distribution of procedural notes for chairpersons.

  • Assist in preparation of agenda annotations, participant lists, and daily materials.

  • Undertake research and provide reference materials for briefs, notes, and statements.

  • Maintain accurate record of speakers and attendance; coordinate with Secretariat and delegations.

  • Assist in voting and election processes, including ballot distribution and tabulation.

  • Ensure reports meet UN document standards; coordinate reproduction with documents control office.

  • Prepare seating floor plans in line with UN protocol.

  • Prepare monthly statistics on meetings held at HQ and away.

  • Coordinate arrangements for meetings/conferences held away from HQ; prepare cost estimates.

  • Draft routine correspondence.

  • Arrange and coordinate video/teleconference activities.

  • Maintain filing and reference systems for procedures and materials.

  • Respond to queries from delegations and Secretariat.

  • Replace senior staff as needed for room reservations and programme distribution.

  • Provide guidance/training to temporary
    assistants and junior staff.

  • Assist with data collection, analysis, and preparation of reports for knowledge management and decision‑making.

  • Assist with visualizations and updating information materials (web pages, brochures).

  • Perform other duties as required.

    Qualifications / Special Skills

  • Applicants must be enrolled in a graduate degree programme (Master’s or higher) at the time of application and during the internship.

  • Applicants pursuing studies in countries without undergraduate/graduate division must have completed at least four years of full‑time university studies.

  • Applicants must be in the final year of a Bachelor’s degree, Master’s, or Ph.D. programme, or have completed one of these programmes.

  • Field of study must be closely related to the internship type.

  • No professional work experience required.

    Languages

  • Fluency in spoken and written English required.

  • Knowledge of an additional official UN language (Arabic, Chinese, French, Russian, Spanish) is an advantage.
