Job Summary
The Receptionist Ensures That as the First Point of Contact, There is Excellent Customer Service and Public Relations to Set Up a Positive Interaction That Reflects Well on Ena. The Incumbent is a Back Up For the Administration Officer and Aids Programme Logistics and Support.


Key Tasks, Duties and Responsibilities
The Receptionist is Responsible for:

Customer Service
  • Receive Visitors and Direct Them Accordingly
  • Provide Information Required to Callers or Visitors and Direct Other Inquiries to Appropriate Staff Members
  • Answer Telephone and Relay Any Messages
  • Coordinate With All Departments to Ensure Information Flow
  • Follow Up on Any Client Queries or Complaints
  • Promote Ena Brand by Representing and Upholding Her Image Through Efficient Customer Care


    Administrative Support
  • General Administrative and Clerical Support to Staff
  • Coordinate Monday Meeting Prayer Schedule
  • Receive, Sort and Distribute Mail and Deliveries
  • Maintain an Electronic Database of Contacts
  • Organize Meetings Venue
  • Tidy and Maintain the Reception Area
  • Assist With Travel Bookings for Management and Staff
  • Support Office Security by Reporting Any Suspicious Activity
  • Maintain Visitors Gate Pass Records


    Programme Support
  • Compile and Maintain Programme Contacts
  • Assist in Scheduling and Following Up on Program Events
  • Facilitate Programme Tasks Such as Printing and Filing Documents
  • Support
    Follow Up Programme Tasks Such as Reimbursements of Transport and Airtime for Programme Events Held at the Office
  • Any Other Duties That May Be Assigned by the Supervisor


    Qualifications
    Academic:
  • Diploma in Marketing, Public Relations or Customer Service.
  • Bachelors Degree in Marketing an Added Advantage


    Professional:
  • Excellent Computer Skills
  • Excellent Typing Skills (35 Wpm) Minimum
  • Excellent Communication Skills


    Experience
  • Two Years Experience in a Busy Front Office
