Background

The Mixed Migration Centre is a leading source for independent and high-quality data, information, research and analysis on mixed migration. Through the provision of credible evidence and expertise on mixed migration, MMC aims to support agencies, policy makers and practitioners to make well-informed decisions, to positively impact global and regional migration policies, to contribute to protection and assistance responses for people on the move and to stimulate forward thinking in the sector responding to mixed migration.

MMC focuses on 6 core regions, with regional teams in each of these: Eastern Africa & Yemen; North Africa; West Africa; the Middle East, Asia and Europe.

Responsibilities

Program Support (50%)

  • Lead the process of drafting donor narrative reports and updates
  • Support in the development of proposals and concept notes, including development and consolidation of final budget
  • Regularly update the Grants Follow Up table and share with team members
  • Act as the primary liaison between the MMC team and the Grants team to ensure compliance with donor rules and regulations
  • Regularly reviewing donor contracts and outlining key requirements and guidelines for all relevant departments and for the team

    Financial support & budgeting

  • Regularly reviewing project budgets on a monthly basis and providing feedback to the relevant teams
  • Setting up monthly budget follow up meetings with the project team, finance teams and the grants teams
  • Undertaking monthly re-booking and re-allocation of costs across all project budgets ensuring that DRC and donor guidelines are adhered to
  • Supporting the Mixed Migration Manager and the Mixed Migration Specialist in reviewing the Master Budget on a regular basis
  • Support the Mixed Migration Monitoring Mechanism Initiative (4Mi) team in processing monitor payments, including support in consolidating all financial documents and annexes

    Procurement

  • Support the Mixed Migration Manager in the identification of quarterly and annual procurement needs for the team
  • Leading the procurement process within the team including raising purchase requisition requests, follow up with the Supply Chain teams on delivery of goods and services, quality control of delivered goods and services, liaison with suppliers on any matter arising, and invoicing and payment
  • Support the Supply Chain teams in ensuring compliance to donor procurement rules and procedures particularly for MMC projects
  • Regularly update the MMC asset registry, including working with I.T and Supply Chain teams to ensure that all assets are recorded and coded
  • Support the Mixed Migration Manager in the recruitment of consultants, including but not limited to, liaising with the Supply Chain and Human Resource teams in advertising consultancies, identification of candidates, invoicing and payment, consultant evaluation and consultancy close-out
    procedures
  • Support the Mixed Migration Manager and the Supply Chain team in identification and verification of various vendors and service providers

    Overall Coordination and Support

  • Support in planning and facilitation of MMC events and meetings
  • Supporting in other additional duties and responsibilities as assigned by the Mixed Migration Manager

    Essential qualifications:
  • He/she should have at least 3 years’ Programme management experience in an INGO.
  • He/she should have a University Degree in a relevant field; International development/relations, Political science, Communications, Social science
  • He/she should have an interest in the regional mixed migration dynamic in East and Southern Africa and Yemen.
  • He/she should have Proven experience in financial management and program development in an INGO
  • He /She should be able to work independently and with excellent organizational, planning and time management skills.
  • He/she should be able to Demonstrated ability to manage processes and maintain accurate records.
  • He/ She should be able to Demonstrated ability to coordinate tasks to meet deadlines.
  • He/she should possess Good interpersonal skills; ability to work in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity.
  • He/she should be able to write in a clear and concise manner and to communicate effectively orally.
  • He/she should be Highly proficient in Microsoft Word, Excel and PowerPoint.
