Job Summary

  • Reporting to the Head of Human Resources and the Country Director with a dotted line, this role is responsible for supporting in all areas of HR operations; including creating job postings, longlisting candidates, and setting up interviews in consultation with the HR Head.

  • The job includes as well assisting the HR Head in the areas of staff on-boarding, employee relations and employee data management, as well as HR systems administration.

  • He/She will become well-versed in the HR and administrative systems and processes we use, and will be a key resource for our staff.

  • This position, in addition to HR duties, assists the Country Director as an Executive Assistant providing administrative duties.

  • In addition, the Internal Operations Officer will provide general office coordination for the Ethiopia team, serving as our first point of contact for visitors, internal and external events and meeting management, etc. and performs secretarial duties that include managing phone, mail communications and the reception desk of Digital Green Ethiopia.

    Key Responsibilities

    Human Resources support role

  • Assist in updating HR Information System, ensuring data is kept current across locations and system is being used effectively by staff
    Follow-up with team members to maintain online monthly time sheets, leave approvals, and performance management system.

  • By providing staff list to the finance and admin unit, ensure that all staff are registered and receive full insurance coverage.

  • Facilitate the compilation of documents for employees’ pension registration.

  • Assist in the processes of posting job vacancy announcements, arranging interview schedules and
    assist in new employee orientation.

    Executive Assistant and Operations Support role

  • Manage incoming and outgoing calls.

  • Receive/distribute incoming and outgoing mails.

  • Receive guests and help them by arranging services and facilities in close collaboration with finance and admin unit.

  • Keep proper documentation of correspondences (letters, faxes, etc).

  • Take, document and distribute minutes of meetings as required.

  • Assist the Country Director with any other secretarial duties as deemed necessary.

    Job Requirements

    Qualifications and Skills

  • Bachelors or higher degree in HR, Office Management, Secretarial Science, Business Administration or related fields.

  • Minimum 5 years of hands-on human resources and internal operation or office management experience in global, multi-national organization.

  • Experience in the NGO /non-profit sector will be preferred.

  • Tech-savvy, with knowledge of people management and database software

  • Excellent time management skills and ability to multi-task and prioritize work

  • Have a very high level of personal and professional integrity and trustworthiness.

  • Excellent command of written and spoken English

  • Team player and has requisite social skills to build cordial relationships with colleagues and external stakeholders

  • Willingness to take on challenging tasks/ assignments beyond immediate responsibility
