Department of Management Strategy, Policy and Compliance Office of Human Resources Administrative Assistant Jobs in Kenya
This position is in the Conduct and Discipline Service (CDS) within the Administrative Law Division (ALD), Office of Human Resources (OHR), Department of Management Strategy, Policy and Compliance (DMSPC).
The Administrative Assistant reports to the Senior Programme Management Officer of CDS.
ALD oversees implementation of UN standards of conduct, provides strategic/legal advice on internal justice matters, represents the Secretary-General before the UN Dispute Tribunal, and supports managers in addressing conduct and discipline issues.
Responsibilities
Human Resources Management:
Assist Senior Administrative Assistant with HR activities (recruitment, placement, promotion, relocation, performance appraisal, job classification, separation, training) ensuring consistency with UN rules and procedures
Conduct vetting of civilian, military, and police personnel for prior misconduct while in UN service; collaborate with CDS and OICT colleagues to update vetting process/system (Case Management Tracking System – CMTS)
Monitor CDS staffing table and prepare statistical data/charts
Budget and Finance:
Assist Senior Administrative Assistant in preparation and review of financial and HR proposals/requirements of CDS
Support elaboration of resource requirements for budget submissions
Assist in preparation of budget performance submissions and finalization of budget performance reports
General Administration:
Provide administrative support to Chief of CDS, including calendar management
Draft routine correspondence to respond to enquiries on administrative, financial audit, and personnel matters
Perform other administrative duties as required (official travel, monitoring accounts, consultant payments, space planning, office technology needs and maintenance)

Education
High school diploma or equivalent required
Work Experience
Minimum 7 years of experience in administrative services, finance, accounting, audit, HR, or related area required
Minimum reduced to 5 years for candidates with a first-level university degree or higher
At least 1 year of experience in recruitment at UN or similar international organization required
Experience in results-based budgeting required
Experience in data analytics desirable
Languages
English required
French desirable
