Org. Setting and Reporting

The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the Director-General of UNON is the representative of the Secretary-General in Kenya. UNON supports programme implementation of the United Nations Environment Programme (UNEP), the United Nations Human Settlements Programme (UN-Habitat) and the Resident Coordination System (RCS) globally, as well as other UN offices in Kenya, by providing administrative, security, conference and information services (www.unon.org).

This post is located in the Publishing Services Section, Division of Conference Services, (UNON). Within limits of delegated authority and reporting to the Deputy Chief, Publishing Section, the Team Leader (Digital Press) will be responsible for the following duties:

Responsibilities

  • Takes responsibility for and oversees the work of Staff with respect to the timely layout of multilingual parliamentary and related documentation and for a variety of UN-sponsored activities (e.g. major conferences, observances, events and campaigns, etc.);

  • Oversees the conceptualization and development of design proposals for review by clients, which may include photographic, illustrative or more abstract graphic solutions, as well as the timely production of large format branding requests.

  • Interfaces with all the Units in the Section as well as with Clients to ensure a complete understanding of the job.

  • Assigns work according to a schedule of priorities to ensure timely issue of products and an equitable distribution of work.

  • Supervises the staff by identifying and resolving issues, monitoring staff performance, participating in and overseeing staff training. Completes Performance Evaluations (EPAs) for supervised staff.

  • Performs administrative work, including the maintenance of daily statistics.

  • Oversees the implementation of accessibility guidelines related to digital publications; this includes reviewing publications that have been adapted to follow the guidelines ensuring final versions of the publications include all the recommendations.

  • Confers and collaborates with other units in order to maximize resources; this includes identifying statistical charts, diagrams and organigrams for utilization by other units as well as reassigning Staff to conduct work in other Units of the Section when there is spare capacity in the Unit.

  • Assures the availability of relevant resources to carry out the duties and responsibilities of the publication’s operation.

  • Advises clients on the preparation of files, as necessary.

  • Participates, as a member of the team, in formatting and layout including content input from multiple digital (PDF) or native files (Adobe Creative Suite).

  • Reviews and corrects files, loads fonts, inspects graphics, and finalizes content for production.

  • Diagnoses, resolves, and documents technical problems (e.g. problems relating to text, graphics and images, software, and system errors, etc.).

  • Maintains inventory of and responds to all requests for Unit’s past outputs.

  • Assures smooth continuity with respect to consecutive work shifts. Prioritizes work to be continued and gives special instructions as needed.

  • Rotates in shifts, as well as weekend on-call duties, as needed

  • Depending on the needs of the service, availability for overtime is expected.

  • Assists with the collection and analysis of data as
    well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.

  • Assists with visualizations and updating information material such as web pages or brochures.

  • Performs other related work as required

    Competencies

  • Professionalism: Demonstrated knowledge of policies, processes and procedures related to the production of documentation and publications and in the use of large format digital UV Flat-bed printers, plotters and die cutters. Knowledge of publishing and graphic industry standards as well as creation of motion-picture videos and digitization methods and best practices. Ability to enhance the skills and monitor the performance of staff within the unit. Demonstrates initiative, ability, and creativity to effectively attain objectives.

  • Planning & Organizing: Develops clear goals that are consistent with agreed strategies. Identifies priority activities and assignment. Adjusts priorities as required. Allocates appropriate amount of time and resources for completing work. Foresees risks and allows for contingencies when planning. Monitors and adjusts plans and actions as necessary. Uses time efficiently.

  • Technological Awareness: Keeps abreast of available technology. Understands applicability and limitation of technology to the work of the office. Actively seeks to apply technology to appropriate tasks. Shows willingness to learn new technology.

    Education

  • Completion of high school diploma or equivalent.

  • Supplementary training in the graphics design area is required.

    Work Experience

  • A minimum of ten (10) years of progressively responsible work experience in supervision of pre-press, digital printing, graphic arts operations is required.

  • The minimum years of relevant experience is reduced by two years for candidates who possess a first-level University degree.

  • At least 7 years of experience in the advanced use of Adobe InDesign to lay-out multilingual publications, photoshop and online image repositories such as Shutterstock, motion array, etc. is required.

  • At least 5 years’ experience in the use of UV LED Flat-bed large format printers and latex large format printers is required.

  • 2 years’ experience in the use of digital booklet-finishing units, digital paper cutters, die cutting equipment and thermal wide format laminators is desirable.

  • 2 years’ experience in the creation of motion-picture videos and digitization projects is desirable.

  • 1 year or more of experience in data analytics or related area is desirable.

    Languages

  • English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is desirable.
