Org. Setting and Reporting

The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the representative office of the Secretary-General. We support programme implementation of the UN Environment Programme (UNEP) and the UN Human Settlements Programme (UNHABITAT) globally, as well as other UN offices in Kenya, by providing administrative, conference, security and information services. This post is located in the Spanish Translation and Text Processing Unit, Translation and Editorial Section (TES) of the Division of Conference Services at the United Nations Office at Nairobi.

Under the direct supervision of the Chief, Spanish Language Unit and within limits of delegated authority, the Editorial and Desktop Publishing Assistant will be responsible for the following duties:

Responsibilities

• Produces camera-ready documents for reproduction by formatting complex documents in desktop publishing layout; this includes data input from audio or live dictation. Incorporates changes as marked by editors, translators and revisers, ensuring that the final version of the document conforms to, as the case may be (a) the draft translation as to contents, and/or (b) the original language manuscript as to format and typography, in accordance with existing editorial guidelines.

• Performs proof-reading functions ensuring that changes have been incorporated as marked in the draft copy and alerting the responsible authority if obvious errors or discrepancies are found in the translated text.

• Stores final text on the database.

• Participates, as member of a team, in the production of parliamentary and miscellaneous documentation, supplements and sales publications, by preparing desktop publishing layout of the final product in relevant language for reproduction in hard copy and electronic dissemination.

• Assists and replaces the Assistant Supervisor, when needed.

• Takes responsibility for final verbatim records.

• Trains and guides temporary and junior staff in the processing of basic and more complex documents.

• Compiles submitted corrections and edits documents in relevant language, according to required format.

• Rotates in day and night shifts, as needed.

• Stays available for overtime and on-call assignments, depending on the needs of the service.

• Performs other related work as required, including verbatim and echelon service.

Competencies

Professionalism:

Knowledge of editorial practices and desktop publishing, including typographic standards. Proficiency in the language of the unit and in United Nations
terminology. Knowledge of United Nations structure and rules of procedure of various organs, including documents production system. Shows pride in work and in achievements.

Develops clear goals that are consistent with agreed strategies; identifies priority activities and assignments; adjusts priorities as required; allocates appropriate amount of time and resources for completing work; foresees risks and allows for contingencies when planning; monitors and adjusts plans and actions as necessary; uses time efficiently.

Education

  • Completion of high school diploma or equivalent is required. Must have passed the United Nations specialized tests, i.e. grammar, verbatim, formatting and speed typing in the language of the Unit.

  • Passing the English Verbal Reasoning Test (EVRT) is a prerequisite for recruitment consideration in the General Services Language and Editorial Desktop Publishing categories in the United Nations Secretariat. The EVRT is administered to applicants when required before the administration of a written assessment and/or interview.

    Work Experience

  • A minimum of five (5) years of relevant working experience in desktop publishing, including draft typing, copy editing, proof-reading and typographical layout or related area is required

  • Experience in screening and registering documentation submitted for processing in an international organization such as the United Nations or similar organizations is desirable.

    Languages

  • English and French are the working languages of the United Nations Secretariat. For the post advertised, candidates must be fluent in Spanish which is the language of the Unit as their primary language with proficiency in spelling and grammar.

  • Knowledge of another United Nations working languages, English or French, is desirable.
