Danish Refugee Council Supply Chain Officer Jobs in Kenya





Overall Purpose of the Role
Responsible for supply chain functions (procurement and logistics) in the Mandera program.

Ensure compliance with donor rules and DRC guidelines.

Provide technical support and capacity building for program teams.

Advise Team Leader Finance & Administration on procurement and logistics issues.

Key Responsibilities

Procurement

  • Procure materials and equipment cost‑effectively and transparently in line with DRC and donor policies.

  • Process all purchase requisitions on Microsoft ERP Dynamics system.

  • Liaise with suppliers, track deliveries, and evaluate performance.

  • Track PRs, POs, RFQs, ITBs from planning to receipt.

  • Prepare RFQs, ITBs, TOC reports for tender committee review.

  • Assist with contracts and amendments.

  • Register new suppliers with valid documentation.

  • Facilitate supplier pre‑qualification process.

  • Support strategic sourcing and framework agreements.

  • Ensure accurate procurement files and compliance with audit standards.

  • Submit supplier payments to finance timely.

  • Conduct duties per DRC SOPs and Code of Conduct.

  • Ensure monthly PO/PR clean‑up on Dynamics.

    Warehouse & Inventory Management
  • Report weekly/monthly warehouse activities to Team Leader Finance & Admin.

  • Manage warehouses per DRC standards and maintain audit records.

  • Conduct random checks during loading/unloading to ensure quality.

  • Ensure non‑food items dispatched per distribution plans.

  • Identify alternate warehouse facilities in emergencies.

  • Register and dispatch procured stocks efficiently.

  • Maintain filing system for stock movements.

  • Monitor storage, requests, and issuance per DRC guidelines.

  • Conduct physical stock checks and investigate discrepancies.

  • Ensure warehouse cleanliness and security.

    Fleet Management
  • Manage vehicle fleet safety, logs,
    booking, and assignment.

  • Monitor fleet use, service, and maintenance.

  • Review fuel consumption, spare parts, insurance, and safety standards.

  • Ensure compliance with DRC fleet standards.

  • Train drivers, enforce fleet procedures, and monitor movements.

  • Report monthly on fleet management.

  • Manage servicing facilities and spare parts.

    Asset Management
  • Register purchased assets in ERP Dynamics system.

  • Tag and issue assets per DRC guidelines.

  • Manage asset journals (add, modify, dispose).

  • Conduct physical asset counts twice yearly.

  • Monitor asset inventory and report to management.

  • Liaise with Security Officer and HR/Admin Assistant to enhance compound security.

    Reporting Arrangements
  • Report to Team Leader Finance & Administration.

  • Liaise closely with Supply Chain Manager.
