Responsibilities
Support the Bid Manager and Business Development Manager in coordinating bid submissions from initiation to submission, tracking deadlines, and ensuring inputs are received on time
Manage stakeholder inputs across subcontractors, in-country teams, technical leads, and departments, chasing proactively and escalating delays
Conduct portal scans (Devex, UNGM, GIZ Vergabemarktplatz, IADB, etc.) to identify new opportunities and monitor active tenders
Support lead capture activities, logging opportunities in CRM, maintaining tender status, outcomes, and lessons learned
Carry out competitor research and market intelligence to inform bid strategy decisions
Provide recruitment support for bids requiring named personnel, including drafting adverts, coordinating CVs, shortlisting, and supporting interviews
Assist in preparation and formatting of bid documents, compliance matrices, and submission checklists
Support BD Manager with administrative tasks including scheduling meetings, preparing agendas, and maintaining shared bid files
Work closely with bid managers and technical leads to ensure edits strengthen intended messaging and strategy

Reports to the Business Development Manager

Coordination and stakeholder management: oversight of multiple requests, chasing inputs, escalating delays
Research and intelligence: proactive portal scanning, competitor tracking, synthesising market information
Detail orientation: methodical and accurate in trackers and bid files under pressure
Commercial awareness:
understands procurement environment to prioritise opportunities and flag risks
Deadline discipline: prioritises effectively across concurrent bids, escalating issues early
Required Competencies
University degree in Business Administration, International Development, Communications, or related field
Excellent written English (UK), with ability to draft clear, professional communications
Proven ability to manage multiple concurrent workstreams and deadlines accurately
Strong organisational skills and attention to detail, maintaining trackers and bid logs
Proficiency in MS Office (Word, Excel, PowerPoint), with strong document formatting skills
Desirable Competencies
Experience in bid coordination, proposal support, or BD administration in international development, humanitarian, or professional services sectors
Familiarity with procurement portals (Devex, UNGM, GIZ Vergabemarktplatz, IADB) and supplier registration systems
Experience supporting recruitment for bids, including drafting adverts, coordinating CVs, and managing candidate communications
Experience using CRM or BD pipeline tracking tools
Exposure to competitor research, market mapping, or business intelligence activities
