Responsibilities

  • Secretarial and administrative responsibilities to the office of the speaker.
  • Drafting speaker's letters, presentations and speeches.
  • Arranging travel, accommodation and occasionally travelling as maybe required
  • Screening phone calls enquiries and requests and handling them when appropriate.
  • Meeting and welcoming visitors who wish to see the Hon. Speaker
  • Taking dictation and minutes in appropriate circumstances.
  • Managing communication and public relations activities in the office of the speaker.
  • Organizing and maintaining diaries and making appointments on behalf of the Speaker
  • In appropriate circumstances, liase with Assembly staff and members of the Assembly in contact with the office of the speaker.
  • Referring matters that relate to the incurring expenditure to the office of the clerk
  • Undertake research for the Speaker b)

    Qualifications

  • A holder of at least first degree from a university recognized in Kenya preferably in Business Administration and/or public relations.
  • Knowledge in legal services and related field will be an added advantage.
  • Have knowledge, experience and distinguished career of not less than 3 years.
  • Ability to work independently and support the Speaker's business operations.
  • Excellent public relations, written and spoken English.
  • Proficiency in ICT, Excellent communication and report writing skills.
  • Be able to provide administrative support, maintain records and generate reports with high level of integrity and discretion.
  • Knowledge of office management systems and procedures.

  • Recording dictation in shorthand and transcribing in typewritten form Processing data and managing e-office
  • Operating office equipment ensuring security of office equipments , documents and records
  • Managing office petty cash
  • Develop and maintain a filling system
  • Liase with the senior officers to handle requests and queries from senior managers.
  • Ensure the efficient and smooth day to day operation of the office

    Qualifications

  • Bachelor of Business and office management or equivalent from a recognized institution.
  • Knowledge in legal services and related field will be an added advantage.
  • Served in the grade of Administrative Assistant II or in a comparable position for a minimum period of three 3 years.
  • Proficiency in computer application skills
  • Have excellent oral and written Communication skills.
  • Demonstrate integrity and

    Qualifications

  • Diploma/ Higher National Diploma in secretarial studies from the Kenya National Examinations Council or equivalent qualifications from recognized institution.
  • Have served in the grade of a secretary assistant or personal secretary III or any other relevant and comparable position in the public service for a minimum period of three (3) years.
  • Knowledge in legal services and related field will be an added advantage.
  • A certificate in computer applications from a recognized institution
  • Passed the following examinations from Kenya national examination council
    • Typewriting III (Minimum 50 w.p.m] / computerized document processing III • Shorthand II (90 w.p.m )
    • Business English III/ Communication I
    • Office Management II/ Office Administration and Management III;
    • Secretarial Duties II
    • Commerce II vi) Demonstrate integrity and professional competence as reflected in work performance and results.
