Accountability

  • The Senior Debtors Controller is accountable to the office of the Financial Manager of the Coega Development Corporation (CDC).

    Mandate

  • The Senior Debtors Controller is mandated by the Chief Financial Officer to take responsibility for all the credit control and debtors functions of the Coega Vulindlela Accommodation and Conference Centre under the specific direction of the Financial Manager, with a particular emphasis on the management of credit risk of existing and new debtors of the CDC.

    Responsibilities and Obligations

  • The primary objective of the Senior Debtors Controller is to ensure that the financial integrity of the CDC is protected and maintained at all times. In pursuance of this primary objective the Debtors Controller is required to be responsible for:

  • Generate revenue invoices in Oracle

  • Apply receipts on customer accounts

  • Write debt demand letters

  • Liaise with Bankers in resolving unknown customer receipts

  • File preparation for handover of overdue customer accounts

  • Follow up on overdue invoices and implement company collection procedures

  • Look for ways to improve debt collection processes

  • Debit order process management, i.e. data maintenance; file preparation; file upload & administration of dishonoured debit orders

  • Create customer accounts in the Third Party Funds Administrator Account

  • Assist with transfer of tenants’ deposits from and to the Third Party Funds Administrator Account

  • Prepare deposits’ paperwork for exiting tenants and making sure deposit refunds get done within the stipulated timeframes.

  • Appropriately account for tenants’ deposits in the Oracle system.

  • Customer accounts’ investigations or resolving queries .

  • Make available unapplied customer credits report weekly.

  • Produce debtors’ age analysis with comments on outstading invoices.

  • Assist with audit queries and pulling of information.

    Furthermore, you are to ensure that:

  • You are aware of and have access to the CDC’s SHEMS;

  • You are aware of your responsibilities and duties as laid out in the CDC’s SHEMS;

  • You are aware that you work in a safe and environmentally friendly manner;

  • You ensure that the company’s housekeeping standards are maintained throughout your area of responsibility;

  • You report any unsafe conditions or acts which you cannot rectify yourself to your SHE representative or
    to the Senior SHE Project Manager as soon as possible;

  • You report all SHE incidents which occur within your area of responsibility promptly and in the correct format;

  • You are totally familiar with your responsibilities in terms of the CDC’s emergency plan;

  • You communicate to the Senior SHE Project Manager any required changes to the SHEMS prior to implementing these changes;

  • You timeously complete and correctly record any corrective action which needs to be taken in order to rectify a SHE matter;

  • You give full co-operation to, and participate in (as required), the CDC’s internal and external SHEMS audits.

    You have the authority to:

  • Immediately stop any person(s) on CDC property from committing an unsafe or destructive act or omission;

  • Take whatever immediate steps you deem necessary to prevent injury or environmental damage when confronted with an unsafe or destructive condition.

    Performance Indicators

  • Performance will be monitored regularly by the Finance Manager, with reference to the Finance Unit balanced scorecard.

    Requirements

  • Minimum 7 years core experience as a debtors officer/controller, preference will be given to candidates with additional experience.

  • An appropriate post graduate degree or diploma will be advantageous.

  • Strong MS office skills, particularly Excel.

  • Strong numeracy and accounting skills.

  • Strong communication skills.

  • Ability to work efficently under pressure, meet deadlines and appropriately prioritise tasks.

  • Ability to provide succint reports and feedback.

  • Ability to problem solve.

  • Be honest, reliable and trustworthy.

  • Subscribe to the principle of confidentiality.

  • Tertiary qualifications in Financial Management or any other related field of study.
