    About the Role

  • The role works within the Business administration role family and is key to driving effective systems and processes that enable the workgroup to meet its financial and operational objectives. This role plays a critical role in support and facilitation of the country programme, by providing logistical, procurements and front office services.

    About you

  • We are looking for a dynamic and enthusiastic candidate who can work with both internally with staff and externally with suppliers, service providers and government departments.

  • You will need to be proactive; problem solving capacity and have strong negotiation and interpersonal skills.

  • You will be a team player, able to establish good team relationships.

  • The position is line managed by the Office Manager.

    Job Requirements

    Essential

  • You must be educated to at least Degree level in Management, Secretarial Science and other related discipline with at least 3 years’ experience in the role in NGO setting.

  • Excellent communication and interpersonal skills including active listening skills, competency in negotiation, influencing and assertiveness.

  • Good customer relations and front office experience dealing with suppliers, visitors, service providers.

  • Sound knowledge of Microsoft Office programmes including Word, Outlook, PowerPoint and Excel.

  • Knowledge of relevant database systems.

  • Experience of maintaining financial and administrative systems, setting up meetings and taking minutes

  • Experience in managing offices resources effectively and efficiently from a broader perspective of a well-functioning office.

  • Self-starter with good organizational and administrative skills able to work under minimal supervision and able to act proactively, anticipating situations and issues ahead of time.

  • IT savvy and innovative in development of effective and efficient solutions to day to day administrative issues.

  • Commitment to work collaboratively within a team and to foster a collaborative, respectful and professional spirit within the office.

  • Commitment to work flexible and creatively within changing requirements and unplanned circumstances.

  • Ability to manage a wide range of complicated issues.

  • Proven experience of producing and analyzing data accurately.

  • Able to maintain confidentiality and use of discretion where appropriate

  • Clear and confident telephone manner.

  • Knowledge of Intranet systems and web-based information-sharing
