CHASP Advisory Office Manager & Administrator Jobs in Kenya;The Office Manager & Administrator will provide efficient, proactive, and professional administrative support to CHASP Advisory’s staff, consultants, clients, partners, and visitors. The role supports smooth office operations, front office management, logistics coordination, records management, meeting support, procurement documentation, and general administrative services.

In addition, the role provides confidential, high‑level executive assistance to the Global Director, including calendar management, travel coordination, meeting preparation, correspondence support, follow‑up on action points, document handling, and coordination with stakeholders.

Key Responsibilities

Front Desk Support

  • Welcome and assist visitors, clients, staff, consultants, suppliers, and partners.

  • Maintain a professional reception area and manage visitor sign‑in procedures.

  • Manage reception desk calls, enquiries, and appointment coordination.

  • Maintain contact databases and manage incoming/outgoing mail and courier services.

    Office Administration & Logistics

  • Ensure office is well‑maintained, safe, and adequately equipped.

  • Monitor and replenish office supplies and maintain accurate records.

  • Coordinate local, regional, and international travel for staff and the Global Director.

  • Support workshops, trainings, meetings, and official engagements.

  • Follow up on insurance, licenses, service agreements, and renewals.

    Executive Support to the Global Director

  • Provide day‑to‑day administrative support, including calendar and correspondence management.

  • Prepare meeting packs, briefing notes, agendas, and minutes.

  • Track delegated actions and ensure timely updates.

  • Coordinate communication between the Global Director and stakeholders.

  • Maintain strict confidentiality with sensitive information.

    Meeting, Event & Travel Coordination

  • Schedule and coordinate meetings, conferences, and events.

  • Prepare agendas, materials, and manage logistics.

  • Take accurate minutes and maintain action trackers.

  • Coordinate with vendors and support HR onboarding logistics.

    Records, Filing & Data Management

  • Update and maintain office records, registers, trackers, and filing systems.

  • Maintain organized
    electronic and hard copy filing systems.

  • Handle confidential documents with discretion.

  • Support preparation of routine administrative reports and summaries.

    Procurement, Finance & Supplier Support

  • Maintain invoice registers and submit monthly reports.

  • Support procurement processes and maintain supplier records.

  • Assist with petty cash, expense documentation, and invoice follow‑up.

  • Ensure accurate filing of procurement and finance documentation.

    Other Duties

  • Perform other reasonable duties consistent with the role and organizational needs.

    Qualifications, Experience & Skills

    Minimum Qualifications

  • Bachelor’s degree in Business Administration, Business Management, Office Administration, Diploma or Secretarial Studies, Communications, or related field.

  • 3–5 years’ relevant experience in office administration, executive assistance, or front office management.

  • Experience supporting senior executives or leadership teams is an advantage.

  • Proficiency in Microsoft Office, online meeting platforms, email, and calendar tools.

    Working Relationships

  • Reports administratively to the Head of Finance & Administration.

  • Provides direct personal assistant support to the Global Director.

  • Works closely with Finance, HR, Program, Communication, Business Development, consultants, suppliers, clients, partners, and visitors.
