We are looking for self-driven and result oriented person to fill the following position
Job Title: Executive Assistant
Status: Permanent
Duty Station: Headquarters – Nairobi
Reporting to: HR & Administration Manager
Division / Department: Human Resource and Administration
Purpose of the Job: To provide support services to the Chief Executive’s Office in order to raise the level of efficiency and effectiveness in the Society’s operations.
Duties and Responsibilities
I. Managerial Roles and Responsibilities
i. Handle external and internal communication directed to the Chief Executive’s Office
ii. Ensure effective management of CEO’s diary and booking appointments for and on behalf of the CEO
iii. Supervise and support staff assigned to the CEO’s office
iv. Organize the CEO’s office and ensure the CEO is well prepared for meetings
v. Coordinate and take minutes of various meetings as assigned
vi. Maintaining CEO’s imprest
vii. Attending to visitors at all levels of seniority
viii. Provide logistical support at various functions as assigned
II. Operational Roles and Responsibilities
i. Make bookings for the Board of directors and Senior Management Team (SMT) meetings and coordinating bookings for the required facilities
ii. Maintain a proper document handling system in the office by keeping an efficient filing and retrieval system.
iii. Arranging travel and accommodation, including booking of tickets, car hire, venues, etc
iv. Attend to inquiries and liaise with the appropriate staff as necessary to ensure that needs are satisfactorily attended to.
v. Ensure the efficient and effective flow of communication between the CEO’s office and customers, senior managers and other staff as appropriate.
vi. Participate in the organization of visits/tours for interested parties and to liaise with the relevant departments as appropriate.
vii. Attend to all mail, fax and telephone messages for appropriate sorting and delivery.
viii. Receive, sort and register incoming and outgoing mails
ix. screening phone calls, enquiries and requests, and handling them as appropriate
x. Produce documents, briefing papers, reports
