Job Description

  • Canadian Physicians for Aid and Relief (CPAR) has been working in Ethiopia since 1984.

  • Its initial intervention was predominantly focused on famine relief through the provision of emergency health service assistance to people affected by famine.

  • CPAR’s major humanitarian and emergency interventions were a supply of skilled personnel, medical supplies and materials for emergency, Water, Sanitation and Hygiene (WASH), and health services.

  • CPAR, in response to the “Partnerships for Her Voice, Her Choice” call for proposals by Global Affairs Canada (GAC), has developed a 4 years’ project proposal entitled “Enhancing Sexual Reproductive Health and Rights for Women and Adolescents” (ESWA).

  • The project aims to improve women and adolescent girls reproductive, sexual health and rights by increasing awareness of and access to high quality gender-responsive and youth-friendly Sexual and Reproductive Health (SRH) services in selected zones in the Amhara and Oromia Regional States.

  • This project proposal has been selected and funded primarily by GAC. CPAR will implement the project in collaboration with various universities and local partners.

  • For this project, CPAR is seeking qualified candidates for different positions and locations.

    Main Responsibilities

  • Be responsible for incoming and outgoing telephone calls and emails

  • Handle office expenses and petty cash of office under the approval of the director or finance manager

  • Manage office equipment and infrastructure to ensure a well-running office

  • Responsible for the overall running of the reception operation

  • Make logistic arrangement including flights reservations, hotel and vehicle arrangement for project staffs, visitors/partners, donors, consultants, volunteers and interns

  • Prepare correspondence, memos, reports, presentations, and emails to local counterparts, donors or other related offices or agencies in relation to the office operations

  • Carry out other duties such as translation works, take minutes of office meetings as requested by the supervisor

  • Update the filling system and manage filing the office documents for both hard and electronic copies.

    Recommend and execute annual staff development plan for team

  • Review and update all human resources policies to meet the organization’s needs

  • Plan and facilitating HR activities in the team: contract, recruitment, employee relation

  • Ensure to develop job descriptions for current/new positions

  • Maintain current organizational chart and current staff contact list

  • Assist the progress of
    job planning and performance management

  • Provide coaching and training to direct staffs on HR & Admin functions

  • Establish and maintain relations with government, labor union and other related personnel stakeholders

  • Monitor and record employee time sheets and leave requests

  • Support for procedures or papers relating to personnel or staffing issues

  • Conduct instruction for staff members about admin and HR procedures

  • Prepare and disseminate to staff information on performance appraisal.

  • Conduct periodic training for HR staff including those in the field.

  • Serve as focal point and technical resource for the HR computerized system, and liaison with IT on system requirements, design and improvements. Contribute to development of tools and platform for data and content management

  • Supervise and monitor the work of staff in the HR Unit in carrying out all HR administrative transactions.

  • Assist the Admin and Finance Manager to design, plan, and monitor and provide induction orientation program and briefing to new staff members/personnel. Brief and explain the salary and entitlements packages for different categories of staff, in consultation with the requesting units

  • Supervise the administration and logistics support provided to staff members in terms of visas, and at times coordinate accommodation and flight bookings

  • Supervise the administration of services to staff, i.e. ID cards etc.

  • Other related assignments.

    Job Requirements

    Preferred Qualifications

  • Bachelor’s Degree in Business administration financial management or related studies.

  • At least 4 year’s proven experience for Business Administration

  • Good interpersonal skills and team working skills.

  • Knowledge of effective resource and property management skills.

  • Fluency in English

  • Excellent Communicator orally and in writing.

  • Innovative, self-driven and team player.

  • NGO working experiences, Knowledge of local language(s) and familiarity with the project places are advantageous.
