Job Description

Chaya Humanitarian Organization (CHO) is a non-political, impartial, independent, and non-profit-making organization established on October 26, 2021, and registered by ACSO as a Board led organization bearing certificate No. 5874. CHO is working to improve the livelihood of the target communities by providing humanitarian services of the highest possible quality in an equitable manner toward achieving sustainable development.

Report to: Executive Director

Job Location: Addis Ababa

Duration: Six months with possible extension based on the performance and availability of the fund

Position description

We are looking for an experienced Program Manager who is responsible for organizing programs and activities of the Caayaa Humanitarian organization. She/He will be tasked with developing programs to support the organization's strategic direction, as well as creating and managing long term goals.

She/He will also be in charge of developing budgets and operating plans for programs and writing program funding proposals. He /she will organize and coordinate programs by providing strategic guidance to teams and project managers in ways that promote the company’s culture.

Roles and Responsibilities

The Chaya Humanitarian Organization program manager, amongst others, will have the following main duties and responsibilities.

  • Oversees that the planned programs /project designs are in line with the organization’s strategy, mission, vision, and objectives.

  • Leads strategic planning of the programs of the organization evaluates risk, identifies impact and implications of programs /projects, and provides guidance on policies and procedures to govern programs /projects.

  • Reminds all program /project holders within CHO to prepare their respective annual plans and budget.

  • Review and consolidate annual program and financial plans and budget and;

  • Coordinates programmatic, financial, managerial, and reporting requirements associated with the organization’s programs /projects (assigns projects to coordinators, revises and approves project budget and timeline, approve major changes in project status, manages conflict among projects, and ensures formal closure of projects).

  • Ensure timely implementation of planned programs /projects, monitors the proper implementation and report to the Executive Director on a regular basis and indicate any deviations made, and suggest possible alternatives.

  • Makes sure programs /projects are monitored and evaluated by working closely with the project managers and M&E officer.

  • Ensure the organization is in compliance with donors' and government requirements (i.e. reports are prepared and programmed designed and implemented in accordance with donors' and government requirements).

  • Establish and maintain an effective
    working relationship with government partners, NGOs, and other stakeholders.

  • Assist the Executive Director in preparing the regular and extra-ordinary board meeting minutes and report to the board members on all program matters.

  • Represent the Executive Director in person and/or Chaya Humanitarian Organization as an organization in all local and international meetings, discussion forums,s and other seminars and workshops upon the request of the Executive Director.

  • Act as a formal delegation of the Executive Director of Chaya Humanitarian Organization in the absence of the Executive Director.

  • Carries out all short and long-term duties and responsibilities as assigned by and upon the request of the Executive Director

  • Organizing programs and activities in accordance with the mission and goals of the organization.

  • Developing new programs to support the strategic direction of the organization.

  • Developing a budget and operating plan for the program.

  • Developing an evaluation method to assess program strengths and identify areas for improvement.

  • Writing program funding proposals to guarantee uninterrupted delivery of services.

  • Implementing and managing changes and interventions to ensure project goals are achieved.

  • Producing accurate and timely reporting of program status throughout its life cycle.

  • Analyzing program risks.

  • Working on strategy with the Operation team.

  • Performing other duties as directed by the Executive Director

    Job Requirements

  • Bachelor's degree or master's degree in business, Management, or a related field.

  • At least 2 years of related work experience

  • Proven experience as a Program Manager or other managerial position

  • Thorough understanding of project/program management techniques and methods

  • Proven stakeholder management skills.

  • Proven experience managing a team.

  • Demonstrated proficiency in Microsoft Excel, Word, and PowerPoint

  • Excellent Knowledge of performance evaluation and change management principles

  • Project management skill

  • Outstanding leadership and organizational skills

  • Excellent communication skills

  • Excellent problem-solving ability

  • Excellent communication skills, both verbal and written, in English, Afan Oromo, and Amharic are a plus
