Job Description

Chaya Humanitarian Organization (CHO) is a non-political, impartial, independent, and non-profit-making organization established on October 26, 2021, and registered by ACSO as a Board led organization bearing certificate No. 5874.

CHO is working to improve the livelihood of the target communities by providing humanitarian services of the highest possible quality in an equitable manner toward achieving sustainable development.

Duration: Six months with possible extension based on the performance and availability of the fund

Position description

The Accountant is responsible for managing financial functions including bookkeeping, accounts payable and receivable, preparation of invoices, the organizational budget, grant and contract budgets, and expenditure reports, payroll processing, and maintaining all accounting records and files. This position reports to the Finance and Admin head.

Roles and Responsibilities

The Chaya Humanitarian Organization Accountant, amongst others, will have the following main duties and responsibilities.

  • Complying with all company, local, state, and federal accounting and financial regulations.

  • Compiling, analyzing, and reporting financial data.

  • Creating periodic reports, such as balance sheets, financial statements, etc.

  • Presenting data to managers, and other entities.

  • Maintaining accurate financial records.

  • Performing audits and resolving discrepancies.
    Computing taxes.

  • Keeping informed about current legislation relating to finance and accounting.

  • Assisting management in the decision-making process by preparing budgets and financial forecasts.

  • Prepare cheque payment, purchase order, and other disbursements;

  • Prepare journal voucher

  • Prepare & verify petty cash replenishment;

  • Make surprise counts for the Petty Cash fund (monthly/quarterly) or when necessary;

  • Maintain physical inventory /keeping stock card and inventory control;

  • Receive and assemble invoices and supporting documents;

  • Keep financial documents and used pads properly;

  • Maintain files for vouchers;

  • Prepare financial statements monthly, quarterly, semiannually & annually;

  • Prepare budget Vs actual report;

  • Enter data into the general ledger;

  • Prepare and submit all financial documents to an external auditor for auditing purposes;

  • Maintain control file of PV
    and PC consecutive.

  • Maintain fixed asset register book provide equipment card and assign numbers to fixed assets.

  • Prepare monthly payroll sheet;

  • Prepare cash book and reconciliation of bank statement;

  • Deposit cash collected by the cashier to the bank intact on the same day or the next working day.

  • Ensure correct account codes for all payments.

  • Control and clear advanced amount of money given to staff.

  • Prepare and settle payroll tax and withholding taxes due to appropriate governmental offices on time.

  • Undertake any related assignments when requested by his/her supervisor.

  • Performing other duties as directed by the Finance & Admin, Program Manager, and Executive Director

    Job Requirements

  • Bachelor’s degree in accounting and/or related fields

  • At least five years of related work experience

  • Proficiency in QuickBooks accounting software

  • Knowledge of generally accepted accounting principles

  • Excellent written, oral, and organizational skills

  • Demonstrated proficiency in Microsoft Excel, Word, and PowerPoint

  • Flexible and creative self-starter who can work both independently and within a team

  • Experience with payroll systems is a plus

  • Prior experience in a non-profit environment is a plus

  • Knowledge of generally accepted accounting principles related to non-profit organizations is a plus

  • Strong analytical, communication, and computer skills.

  • Understanding of mathematics and accounting and financial processes.

  • Excellent communication skills, both verbal and written, in English, Afan Oromo, and Amharic are a plus
