British High Commission Technical Works Administrator & Procurement Officer Jobs in Accra Ghana


Roles and responsibilities:

  • Receive, record and process all work requests submitted. Liaise with the TWS on work requests received and inform clients accurately about progress of work
  • Maintain, update and process the database on work requests completed, against the service level agreements for TWG
  • Provide strong administrative support by ensuring smooth day-to-day operations of the section. (Correspondence, availability of office logistics and stationery, office machinery to be kept in good working condition and serve as a channel of communication on issues concerning staff members not on firecrest).
  • Manage TWG Imprest, all GPC procurements, cash advances and process other payments.
  • Ensure that all administrative and financial guidance is followed for running the section and maintaining a database on TWG leave requests, overtime returns and other TWG staff-related information.
  • Handle enquiries and complaints through the shared TWG mailbox for work undertaken by TWG and escalate to line manager as required.
  • Provide administrative support to the TWS, and the entire TWG Staff
  • Maintain an organised filing system for TWG database.
  • Ensure that procurements/purchases are done correctly by following the P2P guidelines and procedures.
  • Responsible for updating the supplier
    database and adding on new suppliers to the system when needed.
  • Provide timely and effective support on all Post-wide procurement issues for all staff relating to supplier site set ups and supplier enquiries as well as liaise with Suppliers and the CSC office to ensure that all purchases made with the GPC are accounted for and reconciled in a timely manner to ensure good FMCI scores for Post.
  • Provide support as procurement officer and act as a back-up procurement officer, fully taking on the work of the substantive procurement officer in times of absence.
  • Provide support and assistance to the TWS with Budget forecasting and implementation for TWG.
  • Line management responsibility of the cleaner at TWG and oversee cleaning and laundry work
    Learning and development champion for TWG
  • Report directly to the Head of Technical Works Group

    Essential qualifications and experience

  • Experience in negotiations
  • Good Communication and Interpersonal Skills
  • Strong Customer Focus with good Attention to detail
  • Display strong organizational, analytical and time management skills
  • Well versed in Microsoft Office Applications
  • Educated to degree level
