Main purpose of job:
  • To provide operational support to the Transport Manager in day to day running of the British Embassy transport section, providing a quality and efficient service to staff and stakeholders in compliance with British government policies/procedures.

    Roles and responsibilities:
  • Administer Post Transport Policy, ensuring all stakeholders understand latest policy guidelines.
  • Provide regular policy delivery updates to the Transport Manager.
  • Ensure effective communication and support concerning transport department matters is provided to all PAGs, external parties and internal service departments, working closely with all stakeholders on minimising service issues and operational risks.
  • Deliver effective and timely customer service to all PAGs by managing transport booking schedule and staff rosters. Ensure that the customer service standards are consistently maintained as per CS charter.
  • Line manage team of 14 drivers, providing managerial support, coaching and guidance on all operational matters.
  • Provide regular performance updates and team development requirements to the Transport Manager, ensuring that the departmental resilience plan is running effectively.
  • Manage staff rosters, overtime and annual leave within departmental budget and providing forward planning support to the Transport Manager.
  • Ensure Security and Safety procedures are strictly adhered to by all transport users, maintaining standards by executing regular checks and working closely with the Transport and
  • Security Manager to minimise any risks.
  • Ensure correct asset management procedures are adhered to as per FCO guidelines by maintaining up to date asset register, following correct disposal of assets and procurement procedures.
  • Ensure logistics requirements of the fleet are closely managed, maintaining regular service schedules, fuel delivery schedules, and current insurance and annual inspection certification.
  • Manage imprest and customer billing records and provide monthly reconciliation documentation to the finance department.
  • Ensure transport operational requirements are delivered within the budget.
  • Maintain up to date audit records following the latest audit recommendations

    Essential qualifications, skills and experience
  • 2+ years of experience in Transport or Logistics roles
  • Experience in coordinating and managing operational team
  • Strong interpersonal skills
  • Strong customer service background
  • Computer skill and experience with Microsoft office suite
  • Must hold a valid driving license
  • Fluent in English and Amharic

    Working patterns:
  • Full-time position with core working hours between 07.30 -17.00 Monday to Thursday and 07.30-13.00 Friday. However, the job holder will need to be flexible to respond to operational demands as need arises.

    Additional information
  • Locally engaged staff of all grades will be entitled to paid annual leave as follows:
  • Up to 2 years 22 days
  • After 2 years services 25 days
  • After 5 years services 30 days
  • In addition to annual leave, the British Embassy observes up to a maximum number of 14 Ethiopian, British and Religious public holidays each year.
  • A list of such Embassy holidays will be published each year. Office Staff required to work on these holidays will be granted time off in lieu or overtime where circumstances permit.
