Purpose of the Job

  • To provide support for the Chief Finance Officer by providing executive-level administrative support by providing clerical support, receiving department managers, executives, clients, and visitors’ messages, and scheduling meetings.

    Main Duties & Responsibilities

  • Acts as the Chief Finance Officer’s first point of contact with people from both inside and outside the company.

  • Provide a high quality secretarial and administrative support service.

  • Receive and deal with telephone calls professionally, re-direct, or take messages and take initiative to deal with queries.

  • Sort, distribute, and respond or draft responses to incoming mail in a timely and efficient manner.

  • Organize and maintain effective filing systems.

  • Organize and attend meetings and ensure the Senior Manager is well prepared for meetings.

  • Arrange travel, visas, and accommodation and, occasionally, traveling with the senior manager to take notes or dictation at meetings or to provide general assistance during presentations.

  • Organize and maintain diaries and make appointments for the Senior Manager.
    Liaise with clients, suppliers, and other staff.

  • Provide high quality and professional office hospitality to visitors.

  • Provide cover for other office assistants as required.

  • Performs other related duties as assigned

    Job Requirements

    Expected Education and Experience

  • Diploma/B.A in Secretarial Science, accounting & finance, management & Marketing

  • 4 years for diploma 2 years in relevant experience as an International company

    Required Skill

  • Filling and documentation

  • Skilled at organizing archives

  • Excellent understanding of accounting and legal issues

  • Abel to perform under high pressure

  • Highly motivated

  • Team player

  • Time management

  • Advanced skill in MS Word, MS Excel, MS Outlook, and PowerPoint.

  • Basic reading, writing, and speaking English.
