Job Summary

  • To review and monitor the implementation of policies and procedures for Fleet, asset, staff accommodation, security general office management in line with the departmental mission.

    Overall Responsibilities

  • Management of the Baylor-Uganda fleet through maintenance of the motor vehicles and motorcycles in a good serviceable condition.

  • Monitor the proper usage of the motor vehicle by handling scheduling, routing, and allocations of motor vehicles to staff, use of fleet monitoring system to track trip movements, fuel usage, speed, and proper handling of the vehicles in line with Baylor-Uganda fleet management policy.

  • prepare monthly fuel consumption reports by every 5th of the new month and routine maintenance reports to management for monitoring expenditures on repairs and service costs of the entire Baylor-Uganda fleet in line with Baylor-Uganda fleet management policy.

  • Management and monitoring of usage of taxi hire services, handling weekly taxi hire allocations, review of milage logs, verification and reconciliation of invoices prior to payment.

  • Maintenance of an update Rwenzori regional Asset Register, implementation, and accurate records management of all fixed assets in line with fixed assets management policy and financial guidelines.

  • Contract management and evaluation of staff accommodation, bookings, reconciliation of accommodation invoices prior to submission to finance for payment.

  • Overseeing the provision of security at the regional office and cluster offices, contract management, and supervision of security by ensuring consistent deployment, review of occurrence, and incident notes of the private security firm.

  • Supervise and oversee the team of Administrative Assistants in the clusters in regard to general office management and maintaining
    the administrative support function in the clusters.

    Required Qualification, Experience and Competencies:

  • A Bachelor’s Degree (Honors) in a business-related course of any degree oriented towards Administration.

  • Good interpersonal skills, communication skills, and analytical skills.

  • Good computer skills and knowledge of computer accounting packages.

  • The job holder must have at least three (3) years of relevant working experience in general office administration and fleet management in a reputable organization.

  • Knowledge of the local language will be an added advantage.

  • 3 Years Relevant Experience
