Background

AAR Japan, Japanese NGO, founded in 1979 without any political, religious, or ideological affiliations. It has since then grown into an international NGO approved and registered by the United Nations. AAR Japan has operated in over 60 countries.

Currently we are active in 15 countries and areas, including 4 African countries namely Kenya, Zambia, Sudan and Uganda. AAR Japan has been operational in Bidibidi and Imvepi settlements since September 2016 to support South Sudanese refugees. (http://www.aarjapan.gr.jp/english/)

Summary
  • Vacancy Title: Admin & Accounting Assistant (Full-time)
  • Duty station: Yumbe, West Nile, Republic of Uganda
  • Duration: from 16th May, 2019 to 15th of March, 2020 including one month of the probationary period (possible extension)
  • Project Title: Education Assistance for South Sudanese in Refugee Settlements, Northern Uganda
  • Salary range (Gross): 890,000 – 1,150,000 UGX

    Description:
    Manage and accomplish assigned project activities from planning, procurement, mobilization, budget and asset control, implementation and reporting, and other assignments relevant to our project in education and protection area.

    The person will be based in Yumbe, but may have frequent business trips to Kampala, Arua, and Moyo District.

    Scope of Work
    Under the supervision of International Staff and Local Staff members of AAR Japan, the Admin & Accounting Assistant shall:

    a. Administrative work supporting Administrative Officer

    a. Manage office supplies stock and place orders
    b. Arrange accommodation, travel and postal service
    c. Make drafts of various contracts either related to project or administration.
    d. Keep proper and correct records of all the office consumables and assets with Microsoft Excel.
    e. Arrangement and control stock of project materials in warehouse or storeroom
    f. Carry administrative duties such as filing, typing, copying, binding, scanning, etc.
    g. Perform other duties instructed by supervisors.

    b. Accounting work supporting Accounting Officer

    a. Control petty cash in office
    b. Accounting Journal Entry to AAR’s financial system on a daily basis
    c. Fill in, check and organize accounting documents (bills, cash slips, invoices, financial supporting documents, receipts)
    d. Assist in supervising and giving advice as necessary to other staff to ensure their compliance with the required financial procedure
    e. Assist in preparing internal monthly financial reports and financial reports for donors
    f. Assist in preparing project audits and annual audits
    g. File monthly tax return
    h. Fulfill all the demands pertaining to accounting and finance process
    i. Update and manage staff payroll
    j. providing advice on compiling organization accounting manuals
    k. Perform other duties instructed by supervisors.

    Experience/Qualification required:

  • Bachelor’s Degree or higher in in relevant field.
  • Good knowledge of English and preferably of a language commonly used in West Nile.
  • Good Computer Skills especially in Word, Excel accounting software and knowledge of other database preferred.
  • At least two years of experience working in accounting / finance or administration in a reputable firm, public body or NGO.
  • High integrity, self-driven, able to work under challenging circumstances, and able to complete assignments with tight deadlines under minimal supervision.
