Key Responsibilities
Operational Cost Control
Monitor daily transport operating costs (fuel, maintenance, tyres, repairs, tolls, driver expenses, detention, demurrage, subcontractor costs).
Review costs against budgets and identify variances.
Investigate abnormal expenses and recommend corrective actions.
Ensure accurate allocation of costs to trips, customers, or business units.
Monitor vehicle operating cost per kilometre and per trip.
Financial Performance Monitoring
Prepare daily, weekly, and monthly Gross Margin (GM) reports.
Monitor revenue, direct costs, GM, and EBITDA against budget.
Analyse profitability by customer, corridor, vehicle, route, and segment.
Provide profitability analysis for management decisions.
Track fleet productivity and cost trends.
Budgeting & Forecasting
Coordinate annual Transport Budget preparation.
Prepare monthly forecasts for revenue, costs, and GM.
Monitor budget utilization and recommend cost optimization.
Support management during budget reviews and forecasting.
Fleet Cost Analysis
Monitor and analyse fuel, maintenance, tyre, accident, insurance, driver, and utilization costs.
Track idle time, empty kilometres, detention, and demurrage.
Develop cost dashboards for management review.
Recommend initiatives to reduce operating costs and improve profitability.
Billing & Revenue Assurance
Review completed trips to ensure accurate billing.
Validate transport invoices before submission.
Monitor unbilled trips and ensure timely revenue recognition.
Reconcile operational records with Finance.
Review customer profitability and revenue leakage.
KPI Reporting & Business Intelligence
Prepare dashboards covering revenue, GM, EBITDA, fleet utilization, fuel performance, vehicle productivity, trip and driver performance, cost per kilometre/trip.
Prepare weekly and monthly management reports.
Support management presentations
and reviews.
Financial Controls
Ensure compliance with financial policies and internal controls.
Review expenditures for budget compliance.
Support audits and verify documentation.
Maintain accurate financial and operational records.
Process Improvement
Identify opportunities for cost reduction and efficiency.
Develop monitoring tools and reporting templates.
Support implementation of transport management systems.
Key Skills
Strong financial and cost accounting skills.
Transport costing and profitability analysis.
Budget preparation and forecasting.
Financial modelling and business analysis.
Advanced Microsoft Excel skills.
Knowledge of ERP systems (SAP, IRIS, or similar).
Knowledge of Transport Management Systems (TMS).
Strong reporting and presentation skills.
Excellent communication and stakeholder management.
High attention to detail and ability to meet strict deadlines.
Experience
Minimum 3 years in Cost Control, Financial Analysis, or Management Accounting within transport/logistics/fleet management.
Experience in transport costing, fleet operations, and performance reporting desirable.
