Key Roles & Responsibilities
Develop schedules for the President’s visits to Nairobi and the region, providing full administrative and logistical support.
Coordinate and organize all meetings for the President/VPHS and Director & Deputy Board Secretary, including agenda preparation, minute‑taking, transcription, and circulation.
Undertake active follow‑up with entity heads and management team members on pending matters requiring leadership’s attention.
Assist the Director in preparing reports and meeting documents for leadership, Council, and Board; compile and consolidate reports/presentations for review.
Plan and coordinate logistical requirements for leadership, Board, and Council meetings.
Research and follow up on issues and concerns for the President/VPHS/Director, including sensitive or confidential matters.
Collaborate with the Office of Events in Pakistan to plan and coordinate logistics for high‑level events or special projects in Nairobi and the region.
Assist the Director in expanding and strengthening stakeholder relations.
Manage the OP EA front office; review correspondence, prioritize for the Director’s attention, and respond to emails/letters as required.
Manage office expenses and reimbursements.
Maintain up‑to‑date filing systems (hard/soft copy) and ensure secure storage of confidential information.
Manage office supplies, ensure functionality of machinery and audio‑visual equipment, and track assets inventory.
Coordinate regional and international travel for the President/VPHS/Director.
Relevant Qualifications, Experience, Skills & Behaviours
Bachelor’s degree in Management, Administration, Communication, or Social Science. Preference for Master’s holders in these disciplines.
Practical knowledge of Finance, Governance, Project Management, and Risk Management
is an added advantage.
Computer literacy with strong knowledge of digital workspace and data literacy.
Minimum five (5) years’ experience in an administrative role in a busy executive office, preferably in a multinational organization.
Strong interpersonal and public relations skills.
Excellent written and verbal communication skills; ability to adapt communication to multiple stakeholders.
Team player with ability to work in multicultural settings.
Creative thinker with analytical and problem‑solving ability.
Superior planning and organizational skills; ability to meet targets within set timelines.
Demonstrated initiative and ability to deliver in a high‑speed, complex environment.
Ability to set priorities and work effectively with minimal supervision.
Flexibility to work long hours.
Positive attitude, resourcefulness, integrity, values, and ethics; ability to maintain confidentiality.
Inquisitive mindset, commitment to continuous learning, and desire to grow.
