African Institute for Development Policy Grants Manager Jobs in Kenya;AFIDEP is seeking an experienced and detail‑oriented Grants Manager to lead the effective management of its grants portfolio, from pre‑award due diligence through to award close‑out.
The role involves working closely with Finance and Programmes teams to ensure full donor compliance, strengthen grants systems, and maintain transparency and accountability to donors, the Board and stakeholders.
Key Responsibilities
Grants Strategy
Track grants pipeline, funding gaps and renewal timelines.
Develop and review proposal budgets and narratives.
Assess financial feasibility of donor solicitations and agreements.
Support cost allocation and indirect cost recovery planning.
Grants & Donor Compliance Management
Review and activate new awards, translating donor terms into internal budgets.
Maintain knowledge of donor compliance requirements.
Coordinate compliant grant close‑out, reporting and asset disposition.
Serve as key contact for donors on grants administration.
Financial Monitoring & Reporting
Track expenditure against budgets and flag variances.
Prepare and submit accurate donor financial reports.
Provide management with portfolio performance analysis.
Support audits with audit‑ready documentation.
Sub‑Grants & Partner Management
Lead due diligence assessments of sub‑grantees.
Draft and manage sub‑grant agreements with donor flow‑down clauses.
Monitor disbursements, partner reports and compliance.
Build partner financial management and compliance capacity.
Risk Management & Systems Development
Identify and escalate financial and compliance risks.
Support internal controls over grant income and expenditure.
Maintain accurate grants tracking systems and records.
Contribute to continuous improvement of grants policies and procedures.
Qualifications & Experience
Master’s degree in Business Administration, Finance, Accounting, International
Development or related field.
5–7 years’ progressive experience in grants/contracts management within NGO or donor‑funded environments.
Strong knowledge of compliance requirements of major donors.
Experience managing sub‑grants or sub‑contracts.
Professional accounting or grants management qualification (CPA, ACCA, CIMA) an advantage.
Excellent analytical, organisational and financial management skills.
Strong communication skills with ability to explain compliance clearly.
Proficiency in grants management software and advanced Excel.
Collaborative, proactive approach with ability to manage multiple priorities.
Desirable
Experience supporting audits and donor financial reviews.
Familiarity with grants/financial data systems and ICT governance.
Knowledge of staff costing in donor‑funded projects.
Experience with grants management platforms.
Familiarity with procurement policies in donor compliance contexts.
