Duties

Basic Function of Position

  • The job holder serves as an executive assistant in the Office of the Director (OD) and oversees all day-to-day administrative management and program coordination logistical functions in support of a broad range of program-related activities in the OD. The goal of the job holder is to achieve effective and efficient administrative support to the offices of the Country Director (CD) and Deputy Director (DD).

  • The job holder provides high-level and confidential administrative support to the OD. This is achieved through direct oversight of the offices of the CDC Malawi CD and DD. The program and administrative support include, but are not limited to, OD procurements, meeting logistics, travel arrangements and logistics (e.g., requiring necessary consular and security clearances and/or services) and transportation (via US Mission motor pool, hired car, and/or personal vehicle).

  • It also includes coordination of high-level communications in support of the OD. The job holder is privy to sensitive and confidential information and must provide excellent diplomatic skills and use discretion at all times.

  • The job holder serves as a liaison between the US Mission to Malawi (e.g., the Front Office), other USG agencies, the Government of Malawi, bilateral and multilateral partners and implementing partners and individuals providing coordination and support services to the OD. The job holder is directly supervised by the Associate Director for Management and Operations (ADMO) but also receives day-to-day instructions from the CD and DD

    Qualifications and Evaluations

    Requirements:

    Experience:

  • A minimum of five years of progressively responsible work experience in secretarial or administrative assistance is required.

    Job Knowledge:

  • In addition to the items already mentioned, the job holder must have great organizational skills including those related to office and travel management, and good written and oral communication skills.

    Education Requirements:

    Mandatory:

  • Bachelor's degree in Public Administration, Business Administration, or Management is required

    Evaluations:

    Language: Mandatory:

  • Level IV (fluency - speaking/reading/writing) English is required and Level IV (fluency speaking/reading/writing) in Chichewa is required.

    Skills and Abilities:

  • The job holder must have good problem-solving skills, excellent interpersonal skills, including in-person and telephone etiquette.

  • The job holder must have a minimum of intermediate Microsoft Word, PowerPoint, and Excel skills and the ability to type at least 60 words per minute with both speed and accuracy.

  • A facility to work with higher mathematical calculations for purposes of reporting is required.

  • The job holder is required to master special systems for reporting and obtaining data and information such as Payments Management System, Grants Management Modules, DATIM, Next Gen, etc.

  • The job holder must be able to correspond in a professional and courteous manner to individuals regardless of socioeconomic status, employment level, gender, race, color, religion, or nationality and should display maturity to work in OD.

  • The job holder must have the courtesy and professionalism to interact with US Mission personnel in various offices and officials within the Government of Malawi.

  • The job holder must have the professionalism and maturity required to work in the OD of a USG agency.

  • Advanced levels of analytical and computational ability to analyze, compile and present statistical information in a concise manner are required.

  • Good communication skills, both oral and written, are required, to include ability to write clear and concise documents, reports, program and policy guidelines and ability to deliver oral presentations on supportive administrative matters.
