Duties

Basic Function of Position

  • This position is located in the Management and Operations Branch in the U.S Centers for Disease Control and Prevention’s Malawi field office and is directly supervised by the Associate Director for Management and Operations.

  • The job holder oversees the day-to-day administrative functions and logistical coordination that supports a broad range of program activities implemented by all branches and programmatic teams. The specific work portfolio includes travel arrangements, procurement processing, office management, initiating maintenance requests, processing time and attendance, and making transportation arrangements for staff and CDC visitors (e.g. TDYers).

  • The job holder coordinates with ICASS service providers, US Embassy departments, USAID, and the PEPFAR Coordination Office on the provision of general services that relate to his/her position.

    Qualifications and Evaluations

    Requirements:

    Experience:

  • Five years of work experience is required. At least two years of experience should be administration in public health.

    Job Knowledge:

  • Must have good working knowledge of U.S. Government administrative policies and procedures including human resources, travel, IT, and other administrative procedures and regulations. Must have good knowledge of office management procedures and ICASS standards.

    Education Requirements:

    Mandatory:

  • Bachelor's degree, or host country equivalent, in Public Administration, Business Administration, Management, Finance or Accounting is required

    Evaluations:

    Language: Mandatory:

  • Level IV (fluency – speaking/reading/writing) in English is required and Level IV (fluency -Speaking/reading/writing) in Chichewa is required.

    Skills and Abilities:

  • The jobholder must have excellent inter-personal skills in order to coordinate with staff, USG, Implementing Partners, and Cooperating Partners.

  • Must have strong telephone etiquette and good skills in dealing with persons of all ranks and be able to calmly and accurately respond and communicate through phone calls.

  • Good
    writing skills are required to write clear and concise emails, documents, reports, policy and procedural guidelines.

  • Ability to deliver oral presentations on supportive administrative matters is required.

  • Ability to coordinate and negotiate effectively with host government, ICASS providers, and inter-agency partners is required.

  • Intermediate user level of Microsoft Word, PowerPoint and Microsoft Excel is required.

  • The incumbent must also be skilled to enter, modify and obtain information in the Travel, Procurement, Motor pool and Human Resources modules of the Overseas Business Management System (OBMS), Grants Management Module, Department of State (DOS) Travel System (E2), Procurement System (ARIBA), Time and Attendance, and Myservices, and PEPFAR’s NextGen.

  • Minimum tying speed of 40-60 words per minute is required.

  • Advanced levels of analytical and computational ability to analyze, compile and present administrative statistical information in a concise manner are required.
