Summary:

  • Reporting to the Associate Deputy Vice Chancellor-Academic Affairs, the successful candidate will be responsible for updating and maintaining students' academic records, class enrollments, schedules, and other details necessary to keep the institution running smoothly.

  • The Registrar acts as a central communication resource for academic and policy information related to student records management. S/he must create and maintain collaborative working relationships with institutional leadership, faculty, and staff and support University programs and policies as established by administrative and academic entities..

    Key Responsibilities/Tasks/Duties:

  • Oversees all operations in admission process, registration and graduation processes; student enrollment verification; grade processing and issuance of transcript to students and graduates.

  • Coordinates updates and modifications to the student information system related to registration, academic records and course entry.

  • Responsible for the development of the Academic Calendar and the updating of the Registrar’s Office web site.

  • Assists in the preparation, publication and dissemination of the University Academic Catalog and in the preparation of enrolment related reports.

  • Oversees all operations in the transfer credit process and prior learning credit process (evaluation of transcripts, posting of credit and processing).

  • Serves on various University committees and advisory groups.

  • Developing, managing, evaluating, interpreting and enforcing departmental and academic policies, procedures, and strategies relative to USIU-Africa’s academic mission.

  • Manages the fiscal affairs of the department, including budget development and priorities; exercises direct fiscal control over the approved budget.

  • Serves as the primary institutional manager of student-record information, with responsibility for providing data and analysis to academic and administrative offices concerned with educational policy, curricula, academic performance, and strategic planning, while ensuring the security, integrity and confidentiality of academic records.

  • Participates in commencement activities; conducting degree audits to verify completion of degree requirements, posting of degrees, preparation of diplomas and organization of student related commencement service details.

  • Training staff at
    the registrar's office to use software related to records administration.

  • Participating in student service committees and initiatives.

    Qualifications /Educational /Professional /Experience:

    Educational Qualifications:

  • At least a Master’s degree in or equivalent; a relevant Doctoral degree will be an added advantage.

  • Prior experience in a similar or equivalent role.

  • Proficiency in computer applications and database management.

  • Skills in budgeting and fiscal management in the University system.

  • Knowledge of planning and scheduling techniques.

  • Knowledge of rules, regulations and laws governing student records.

  • Knowledge of customer service standards and procedures.

  • Familiarity with policies implementation in the University systems.

  • Proven ability to bring together faculty, staff, students and academic administration as well as campus administrators outside of Student Affairs to address complex, student-oriented issues.
