Org. Setting and Reporting
This position is located in the Facilities Management Section of Division of Administration. The Facilities Management Assistant will report to the responsible unit supervisor.

Responsibilities

  • Evaluates the functional needs of requesting departments in terms of space and equipment.
  • Audits the existing and the proposed work place assigned to requesting departments in order to evaluate the appropriateness of the request.
  • Determines appropriate space allocation required in order to meet the requests of the requesting department in terms of meeting room, workstations, equipment, mail room, copier room.
  • Prepares space layouts showing arrangement of rooms and equipment.
  • Prepares terms of reference, bill of quantities and project schedules for renovations and other projects.
  • Prepares presentation of proposals for efficient space distribution to the department and the executive office for approval.
  • Coordinates office moves: sets up moving schedules, issues moving work-orders, informs security, transportation and elevator services of these moves.
  • Prepares and issues work orders and blueprints including appropriate technical data for shops and follows up on the development of the work until completion.
  • Coordinates the work of consultants and contractors from planning to post construction stage.
  • Inspects areas of the complex to ensure use and maintenance of safety standards and equipment.
  • Coordinates construction projects and liaises with shops or contractors and operation section, identifying construction problems and providing solutions.
  • Reviews contractors' invoices and assists with cost recovery as required.
  • Surveys areas to be developed: location of partitions, telephones, electrical and LAN outlets, and finalizes proposals for implementation of work.
  • Coordinates, monitors and supervises work performed by contractors to ensure adherence to work schedule and guidelines.
  • Supervises the commissioning of the work and testing of any new systems, if necessary, in coordination with Safety & Security.
  • Ensures the submittal of complete shop drawings, as-built drawings and operation manuals when necessary.
  • Validates requests for installation or removal of telephone, data and electrical outlets.
  • Maintains and updates plans and drawings used as reference information by the unit.
  • Compiles documentary evidence on accidents.
  • Ensures that projects meet safety and security standards by reviewing them with designated Safety and Security officials.
  • Performs other duties as required.

    Qualifications

  • High school diploma or equivalent is required. Degree or Diploma in Architecture/Engineering is desirable. Knowledge of UN tools such as Umoja and UN regulations of finance, procurement and also knowledge of current design/drafting software AutoCAD, Revitt, Sketchup,3D Max etc is an advantage.
  • Five (5) years of experience in facilities management, building management, engineering, architecture, administrative services or related area.
  • English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.
  • Evaluation of qualified candidates may include an assessment exercise which may be competency-based interview

    Org. Setting and Reporting
    The post is located in the United Nations Economic Commission for Africa, Division of Administration, Conference Management Section and Travel, Transport & visa Services Unit, located in Addis Ababa, Ethiopia The incumbent reports directly to the Chief Travel, Transport & Visa Services Unit.

    Responsibilities

  • Under the direct supervision of the Chief of Travel, Transport and Visa Services Unit, the incumbent is responsible for arranging and facilitating travel and related services for ECA staff members, consultants and guests by assisting with all matters relating to airline tickets, confirmations, travel entitlements, visas, hotel accommodation and other travel requirements.
  • Major duties include: Liaising with various Airlines, Travel Agents and UN Agencies worldwide to co-ordinate travel activities on behalf of other parties traveling at the UN expense;
  • performing a wide variety of Administrative tasks, Receiving, providing guidance/information to callers; screening on-line Travel requests for conformity with UN Travel Regulations and Rules;
  • Interpretation and application of the relevant rules; determination of itineraries; calculation of travel entitlements and DSA, standard of accommodation; ticketing, reimbursements, re-issuances, processing of ticket refunds, tracking/tracing lost baggage and preparation of claims, Hotel and ground transportation reservations, and flight confirmation;
  • Drafting correspondence, Information circulars and other documents emanating from the Travel Unit;
  • Maintaining databases relating to:
  • UN Daily Subsistence Allowances applicable to various Countries; Volume of business awarded to each travel agency, discounts and preferential rates offered by various Travel Agents and Airlines; performing other administrative duties as follows:
  • provides inputs to divisions in the preparation of their quarterly plans, provides input to management on policy issues;
  • Provide input on airline negotiation; Prepares weekly and monthly status reports for the Unit
  • Supervisor on the activities of the sub-unit, Preparing accounts, statistics and other statements;
  • checks, verifies and submits for payment, invoices for services rendered to the Commission by vendors;
  • ensure to following with the concerned when invoice payment to vendors delayed or stuck in the process;
  • follow up unused tickets and refunds performing other duties as may be assigned periodically.

    Qualifications

  • High school diploma or equivalent. Must have passed the United Nations Global General Service Test (GSST) or Administrative Support Assessment Test (ASAT) at Headquarters or an equivalent locally-administered test at Offices Away. Additional studies in areas of Business Administration, accounting or management or related field is an asset.
  • Seven years of progressively responsible experience in the area of reservation and ticketing is required. Relevant experience in the Travel industry is desirable; experience in management of UN travel is an asset.
  • English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.
  • Evaluation of qualified candidates may include an assessment exercise which may be followed by a competency-based interview. The assessment may also be conducted through desk-review.
