    Major Duties and Responsibilities

  • Assist in Help Desk Support including:
    Registration of user calls in the system over Telephone and email systems;
  • Delegate/escalate user calls to the right IT focal point for resolution.
  • Ensure that the user problems have been resolved through follow up and escalation.
  • Monitor Help Desk calls monthly, generate a status report on outstanding calls.
  • Assist in Office Filing System both

    Electronically and in Hard Copy:

  • All incoming and outgoing files/documents are archived and/or filed as per established classification systems.
  • Classify incoming documents and electronic files such as MS Word, PDF etc. according to UNICEF standard cataloging and enter them into the EDMS system.
  • Frequently review the lifetime of documents in the system and take necessary actions (delete, update, archive etc.)
  • Ensure the access rights to the various files are in place and secure. Prepare and update summarized/detailed document retrieval mechanisms.
  • Manage/Maintain Records of :
  • All IT items by using appropriate forms and ensure IT items are available for utilization as required.
  • IT hardware and software inventory.
    Lotus Notes Mailing Lists.
  • Configuration Documents and files in the IT Group Drive.
  • Trip Reports, Leave plan other IT events.
  • Assist in IT Focal Points Systems ensuring

    Service Support and Service Delivery including:

  • Maintaining and updating of ICT Focal Points list for all offices.
  • Follow up on office ICT policy, configuration and user issues, particularly during roll outs and upgrades.
  • Coordinate on Focal Points Training/Refreshers courses.
  • Organize periodic sessions and assist in Focal Points capacity building.
  • Feedback on user skills/competence through Focal Points system.
  • Assist in any other IT issues as required:

    EDUCATION (Indicate the level and

    precise field of study of university and/or training and degree of specialization required.)

    Secondary Education, supplemented by training in Archival management/filing system. Should be able to operate Computer and conversant with Windows XP operating systems, using MS Office. Knowledge of Help Desk tasks and basic concept on Service Support and Service delivery essential.

    Knowledge of electronic communication, scanners and fax machine required for Document management system. Training in Information Science, Library, Computer Science or related field an asset.

    Â Â Â WORK EXPERIENCE (Indicate the length and type of practical experience required at the national and, if so required, at the international level.)

    Five years progressive work experience in secretarial duties, of which 3 years experience in Information/Document/Library systems. Experience with managing Faxes/Pouches/DHLs or other types of document flow including maintaining electronic records and databases, pertaining to such messages.   LANGUAGES (Indicate the languages required and desirable.)Fluency in spoken and written English.
