TASO - Project Assistants Jobs in Uganda

Main Purpose of the Job:

  • The Project Assistant shall be the Administrator for the Cluster office and shall ensure all logistics and supplies necessary for effective execution of project activities are provided to the team in a timely manner.

  • S/he will ensure security of project property , manage the project inventory as well as staff attendance of duty.

    Key Outputs

    • Logistical and administrative support provided

    • Assets and inventory managed

    • Records kept of all project items,'and ensure that they are adequately delivered to the various project staff as directed by the Cluster Team Leader

    • Project timesheets reviewed and tracker updated

    • Meetings, presentations , seminars and trainings effectively organized

    • Meetings with the Cluster Team Leader attended , minutes taken for relevant action.

    Key Duties and Responsibilities

  • Provide logistical and administrative support to the project including project vehicles, staff welfare, and project premises .

  • Process and provide all logistics related to project work in due time

  • Attend to all visitors and ensure that the regional has an updated directory for all stakeholders .

  • Process rental fees for cluster offices and monitor and ensure that all insurance aspects of the cluster offices are dully attended .

  • Ensure that staff airtime and internet data is processed in due time.

  • Carry out administrative duties by sorting , filing and sending out project do the right personnel and stakeholders.

  • Regularly monitor the physical assets of the project to assess their condition, security and state of care, and take or recommend appropriate actions.

  • Ensure safety of assets and premises at the region and cluster offices .

  • Track project progress and ensure that all issues related to the project are clarified and completed to avoid confusion and interrupt ion during execution of the project.

  • Keep records of all project items and ensure that they are adequately delivered to the various project staff as directed by the Cluster Team Leader.

  • Review project time sheets for both staff and ensure that they are submitted and filed in time.

  • Make arrangemen ts for meetings, presentations, seminars and trainings being organized and call
    the attention of the Cluster Team Leader to them where and when they are needed.

  • Attend meetings with the Cluster Team Leader and pay apt attention throughout to get details of items discussed at the meeting , document and disseminate action paper in due time.

  • Keep track of all project activities, and ensure that they constantly remind and intimate the Cluster Team Leader of what needs to be done even when they have forgotten about it, in order to meet donor reporting deadlines.

  • Ensure that the project fleet of vehicles and motorcycles is fully serviced and fuelled as per TASO Fleet management guidelines.

  • Ensure security of cluster Assets and maintain an up-to-date Inventory/Asset Register.

  • Any other duties as may be assigned from time to time.

    Person Specifications: Project Assistant

  • Minimum Academic .Qualifications: A Bachelor's degree in Organisational Psychology, SWASA , Social Sciences , Human Resources Management , Business Administration, Project Planning and Management or a related field .

  • Additional Training: Training in Administrative Law is desired and Training in HIV/AIDS Counselling shall be an added advantage.

  • Experience and Exposure: 2 years' experience working in an HIV/AIDS setting. Ability to communicate in local dialects and knowledge of the local area project scope is a MUST.

    Key Skills

    • Excellent skills with Microsoft Word Office, Excel, PowerPoint, Outlook etc.

    • Ability to pay attention to detail

    • Good communication skills and Ability to solve problems

    • Ability to manage time effectively

  • Other Qualities/Attributes: Integrity, Emotional control, Confident iality and Openness, Team player, Ability to work under mental and physical stress and Empathy
