Solidaridad Project Associate Jobs in UgandaPosition Overview The Project Associate is responsible in ensuring that specific projects are implemented efficiently, successfully and within the agreed terms of the project. This requires constant oversight of the project to ensure activities are being performed, collecting data to analyze performance, and reporting on progress.
Position in the organization
The Project Associate reports to the Projects Manager at the national and regional level. The Project Associate also works closely with the Head of Programmes, Senior Project Officers, fellow Project Associates, innovation theme advisers, and the quality function team.
Support implementation of project strategies and implementation of Project Action Plans: **
Ensure the project’s administrative and financial activities comply with Solidaridad’s rules and regulations;
Support development and preparation of result-oriented work plans, critical paths and other project management tools.
Provide support to the implementation of the internal standard operating procedures in the project.
*Provide effective administrative and logistics support to the project in compliance with Solidaridad rules and regulations policies and strategies: -***
Coordinate the arrangement of appointments and meetings, including compilation of briefing and presentation materials, speeches, ground information and documentation;
Provide translation of simple correspondence and act as an interpreter and take meeting minutes as and if required;
Support preparation of budgets for the project activities;
Provide information for audit needs;
Support the project in the procurement process including preparation of TORs, receipts of quotations and their preliminary evaluation;
Arrange travel and hotel reservations, obtain necessary travel authorizations as required;
Provide administrative support to organization of conferences, workshops and retreats as required;
Support to the management on physical assets disposal/transfer; follow up on request and maintenance for disposal/transfer action and enter records in the asset control database (system) ensuring inventory records are up to date and accurate; Maintain an up-to-date list of inventory of the project and support annual physical verification by checking the accuracy of records and location of property;
Be custodian for management of project stationary supplies including maintenance of stock list of stationary, distribution of stationary as required and keeping the log of distribution; and
Maintain filing system ensuring safekeeping of confidential materials and documents.
*Provide effective support in financial management focusing on quality assurance: -***
Maintain the internal expenditure control system that ensures that vouchers processed are matched and completed, transactions are correctly recorded;
Undertake timely corrective actions on un-posted vouchers, including the vouchers with budget check errors, match exception, unapproved vouchers;
Support the establishment of M&E systems that enable project to have a timely and accurate information;
Undertake basic financial analysis (i.e. budget variance) to support project information needs, and;
Prepare financial reports based on donor and project requirements and provide timely reports.
Participate in knowledge building and sharing activities of the project and Solidaridad: -
Participate in the trainings for the operations/projects staff on administrative and financial procedures;
Provide training to project staff on the administrative and financial procedures;
Train the office/project staff engaged in the conduct of physical inventory;
Contribute to the project’s knowledge management and learning agenda.
Knowledge and Experience
Relevant academic level education, Undergraduate degree or higher – in relevant field (e.g. Agriculture, Public Policy, Development Studies, Social Science, Project Management, Strategic Management etc.).
At least one (1) years of experience working with projects funded by international agencies or development partners.
Demonstrable experience in project implementation.
Experience in facilitating workshops and seminars would be desirable.

Ability to work effectively with governmental and non-governmental organizations and local communities in carrying out project objectives.
Excellent reporting skills and ability to relate sensitively to diverse groups.
Self-driven and able to deliver results with minimum supervision.
Excellent written and verbal communication skills.
Excellent critical, creative thinking and analytical skills.
Experience in program administration, operating procedures, oversight and monitoring.
Ability to work with database applications.
Knowledge of project funding procedures and guidelines.
Ability to work in diverse situations.
