  • The Human Resources Assistant will assist the HR officers in developing and managing the Human Resources function within Project HOPE Zambia to optimally support successful program development and implementation. .

    Responsibilities:

    • Responsible for overall Office Administration, Property Administration Storage Administration and Office Secretariat Functions. S/he ensure that the safety and security of all organizations Properties via up-to-date insurance coverage and proper utilization

    • Ensuring that established policies & procedures in critical areas of human resources and administration are distributed to employees and proper induction has been done

    • Assist with compiling and checking timesheets ensuring that they have been completed correctly and establishing a proper filing system for these time sheets

    • Assist in preparation of all disciplinary and grievance matters that arise and ensuring they are handled and communicated sensitively and in accordance with internal policy and Zambian Labour Law

    • Implementing a central filing system and assist with establishment and maintenance of employee records, reports and benefits

    • Uploading HR
    documentation into the electronic record filing system

    • Visa processing, hotel reservation, in-country travel plan, communicate and confirm appointment and shuttled arraignment for international staff.

    • Create and maintain a company work calendar, using cloud applications, to include, calendar of events, deadlines, delivery of products, etc.

    • Ensures leave, absence and personnel record management

    • Assist with all staff recruitment, new-employee orientation, employee relations counselling and exit interviewing in-line with Project HOPE Zambia Policy

    • Perform any other HR duties as required

    Minimum Requirements: **

    • Diploma in Human Resources Management, Business Administration, industrial psychology or other related fields

    • Minimum of 3 years’ experience of human resource management

    • Good working knowledge of donor programmes such as PEPFAR, USAID and/or CDC is preferred

    • Experience in filling system

    • Experience with Microsoft Word, Excel, and PowerPoint preferred

    • Excellent communication skills, both written and oral, preferred

    • Fluent in English and Zambian languages
