Project Assistant Jobs in Kenya icipe is a pan-African and non-profit Centre of Excellence for research and development and capacity building in insect science and its applications.
Its mission is to help alleviate poverty, ensure food and nutritional security and improve the overall health status of peoples of the tropics by developing and extending management tools and strategies for harmful and useful arthropods, while preserving the natural resource base through research and capacity building.
Since its establishment in 1970, icipe has become a significant contributor to science and innovation required to meet the health and food security challenges of sub-Saharan Africa.
The Centre has achieved this status by developing alternative and environmentally friendly pest and vector management technologies and products that are effective, selective, non-polluting, non-resistance inducing, and are affordable to resource-limited rural and urban communities.
icipe is headquartered in Nairobi, Kenya with offices in Ethiopia and Uganda, a major station on the shores of Lake Victoria, and several other field stations in Kenya.
Employing close to 500 international and national staff, icipe also has approximately 150 graduate students who contribute to its research portfolio annually.
The Centre currently has operations in more than 40 African countries, and thriving partnerships with universities and research organizations across the world
Overall Purpose of the Job
To provide administrative and project management support to the project scientist, staff and students of the European union funded – Fall Armyworm Integrated Pest Management project and other related projects for efficient and timely implementation of the project activities
Support the programme management team in follow-up of action points.
Assist in preparing programmatic meeting materials.
Anticipate and facilitate the programme’s inventory needs to ensure effective implementation of the EU-Fall Armyworm project.
Facilitate and keep track of establishment of sub-contract, partner reporting and fund disbursement, documentation approvals and dispatches from EU-FAW IPM project and other administrative offices/departments within and outside host institution.
Facilitate staff and student recruitment and renewal of contracts
Develop outreach materials from the project activities with support from the project scientists and students.
Create and manage electronic and manual filing systems, and maintain and update files and
records, archiving and storage.
Support in planning and organising internal and external meetings, archiving of meeting
proceedings and minutes, workshops and other events (e.g. folders and materials, registration
forms, workshop programmes and name tags, follow up on payments and settlement of working
advances, documentation and filing of proceedings).
Handle maintenance of office assets and keep an inventory of equipment and procured supplies.
Coordinate all staff travel arrangements and logistical support in conjunction with the relevant
departments at host institution, including handling of travel requests and travel expense reports,
accommodation and working advances.
Respond to routine correspondence, and handle e-mail, telephone communication, requests,
enquiries and other communication systems and processes to appropriate parties.
Establish and maintain a key contact database and email list of all project teams and partners,
collaborators and other stakeholders.
Bachelor’s degree in agriculture/business administration with experience in project management and technology dissemination.
At least three years’ experience in project implementation support in Research for development
Event management experience will be highly desirable.
Ability to communicate effectively verbally and in writing is a strong requirement.
Customer service experience and public relations skills would be an added advantage.
Excellent computer skills and proficiency in MS Office (Microsoft Word, Excel and Outlook), and
working with databases.

This position reports to the Project Coordinator, European Union-funded Fall IPM project.
The selected candidate should be available to start as soon as possible.
