Impact and Development Intern

Pencils of Promise (“PoP”) is seeking someone to support the Ghana Country Director and in-county teams in day-to-day operations, research, field visits and logistics, while also serving as a liaison between the Ghana country office and the Development and Marketing teams in New York.

As PoP continues to grow, the amount of in-country tasks relating to Development and Media are expected to steadily increase in the Ghana office.

This role will still include duties with the Ghana team, but more and more work will be completed on the behalf of the Development and Marketing teams, working in collaboration with staff members in the New York office.

Summary of responsibilities

Country Director Support (approx. 10%)

  • Conduct administration tasks for Country Director as needed, including but not limited to, research projects, responding to emails, setting up meetings, database entry, presentation creation and any additional media needs Ghana Team Support (approx. 20%)

  • Assist the builds, M&E, and Programs team, as needed, with visits and administrative tasks, including database entry, community visits, and event planning

  • Conduct projects research for various teams to support expansion

  • Liaise with NY office on status of all ongoing projects

  • Assist with logistics, including distribution of WASH infrastructure, Teacher Support materials and E-Readers.

    Office-wide Support (approx. 20%)

  • Responsible for database management of donor funded projects which includes: data entry, media collection, and knowledge management
  • Provide editing and proofreading support for all outgoing official communication
  • Train and assist new hires with technical and ICT skills
  • Organize leadership and development sessions for staff as needed

    Development & Marketing (approx. 50%)

  • Marketing/Communications Support
  • Gather, curate, and organize compelling digital and written media content from the ground (photography, “Stories from the
    Field”, interviews, special events, etc.)
  • Collaborate with Marketing Team in NY to develop PoP Ghana resources to be shared externally in order to communicate our work as needed
  • Overall, serve the liaison between Ghana office and Marketing Team in New York in all Marketing and Communications activities and collaborate to improve internal communications across offices

    Development Support

  • Assist with the coordination and implementation of Ghana donor trips (including hotel and restaurant reservations, budget tracking, transportation logistics, scheduling community visits, photography and all post-trip activities etc.)
  • Help to develop and update materials for donor trip coordination and logistics; develop and maintain relationships and information on in-country vendors
  • Gather, edit and maintain digital and written media content to be used in full-circle communication with donors; coordinate in-country tasks for donor thanking process in accordance with PoP’s donor acknowledgement system (“Closing the Loop” process)
  • Collaborate with New York and In-Country staff to improve process and strategy for donor acknowledgment process from the ground
  • Support media collection of all donor-funded projects
  • Input and track in-country development activities in Salesforce database as needed

    Qualifications

  • Bachelor's degree, preferably in education, communications, international development, or related
    1-2 years work experience in non-profit development and/or communications; experience in marketing a plus
  • Excellent verbal and written communication skills in English
  • Extremely high attention to detail
  • Excellent organizational and time-management skills
  • Strong computer skills, especially excel; experience with Salesforce or Adobe InDesign a plus
  • Demonstrated ability to take initiative and work independently with minimal supervision; ability to work on deadline-driven, competing requests
  • Experience living/working in a developing or developing country preferred
  • Must be comfortable with frequent travels to the field
