Requirements for Appointment

For appointment to this grade, an officer must have: -

  • Served in the grade of Administrative Officer | or in a comparable and relevant position in the wider Public Service for a minimum period of two (2) years;

  • A Bachelors degree in any Social Science or its equivalent qualification from a recognized Institution;

  • Post graduate diploma in any Social Science or an equivalent qualification from a recognized institution; and

  • Demonstrated merit and ability as reflected in work performance and results.

    Duties and Responsibilities

    An officer at this level will be responsible to the Principal Administrative (Officer for assigned Administrative function. Specifically, duties and responsibilities will entail: -

  • Execution of policies, programs and strategic plans in the administration division that enhance efficiency and effectiveness in the delivery of service in the areas of security management, transport, and office management.

  • Ensure prudent utilization of resources allocated to the division, to ensure the resources are spent without wastage and to garner the trust of stakeholders in the ability of ODPP to deliver quality technical services.

  • Provide administrative staff training needs and projections in order to enhance capacity development in liaison with the Prosecutor Training Institute,

  • Participate in compilation of administrative Office service personnel data for efficient and effective record keeping.

  • Prepare monthly, quarterly, and annual reports for Administration Division to inform decision making.

  • Coach, mentor, guide and counsel Administrative staff ta enhance productivity
    and succession management.

  • Prepare schedule on the performance of outsourced services such as cleaning, security, catering, etc to ensure that there is value for money

  • Prepare tools and processes that enhance efficiency in the delivery of transport services for the office, to enhance efficiency in the operations of the Office through timely and quality provision of transport services.

  • Participate in drafting of concept papers on administrative policy issues.

  • Prepare individual work plans, to ensure the operations of administrative division are directed towards the achievement of the ODPP mandate.

  • Implementation of the performance management of the Administrative Division Officers working under them to ensure the successful implementation
    of the ODPP performance management framework

  • Implement office management services such as, lease and fleet management; to ensure delivery in a timely manner and with consideration to high quality standards, to support the delivery of the ODPP services in an efficient manner

  • Implement administrative programmes that enforce integrity and ethical conduct by staff, to enhance the image of ODPP, and to build the trust of stakeholders in the ability of ODPP to meet stakeholder expectations.

  • Prepare travel documents such as work tickets and authority to travel which are required to ensure staff are able to travel as planned in the delivery of ODP services.

  • Prepare schedule for logistical support in CDDP events and functions, to enhance the ODPP image and gain stakeholder confidence.

  • Liase with the security team to censure the security framework protects the ODPP staff and assets from security threats, to minimize disruptions ta the ODPP operations that result from security incidents, and to enhance the trust
    of stall in the ability of ODPP to manage staff matters.

  • Participate in operationalization of Occupational Health and Safety regulations and National Road Safely measures to ensure safety and health of staff.

  • Foster teamwork and communication among the administrative staff and across the organizational boundaries.
