Requirements for appointment

For appointment to this grade, a candidate must have: -

  • A Bachelor's degree in Records management or Information Science or an equivalent qualification in a relevant field from a recognized institution.

  • Meets Chapter Six (6) of the constitution of Kenya 2010; Integrity, Honesty and Accountability.

    Duties and Responsibilities

    An officer at this level will be responsible to the Records Management Officer I for assigned records management function; Specifically, duties and responsibilities will entail: -

  • Maintain security and safely of records in the registry to minimize wear and tear of stored documents, and to protect the ODPP information.

  • Receive and dispatch letters and file s in a timely manner and in line with the records management policies and procedures and to ensure timely communication.,

  • Receive, mark and file letters that have been actioned by officers to ensure the letters are securely stored and easy to trace and retrieve when required,

  • Renew file covers to facilitate ease in the retrieval of documents when required.

  • Dispose obsolete records as instructed to support proper utilization of records
    management facilities,

  • Facilitate easy
    retrieval of records when required.

  • Participate in maintenances of proper records of inventory.

  • Marking files and correspondences to be actioned by officer.

  • Maintain file movement registers and other record tracking tools to ensure the files can be race when required.

  • Manage bring up diary of pending functions for effective office operations.

  • Maintain proper records of inventory to facilitate ease in retrieval of records when
    required.

  • Maintain outgoing and incoming mail registers.

  • Identify and addressing operational challenges on day today basis.

  • Open new files as guided in line with the ODPP policies and procedures on records management,

  • Prepare individual and sectional work plans and reports to ensure the operations of the sections are aligned with performance management policies.

  • Maintain security of all the registry documents and their custody.
