Requirements for appointment

For appointment to this grade, a candidate must have: -

  • Served in the grade of Reception Officer ITT or a comparable and relevant position in the public or private sector for at least two (2) years;

  • Bachelor's Degree in Public Relations or any relevant Social Sciences from a recognized University; and

  • Demonstrated professional competence in work performance and results at that level.

    Duties and Responsibilities

    An officer at this level will be responsible to the Senior Receptionist for assigned reception function. Specifically, duties and responsibilities will entail: -

  • Respond to and take ownership of calls from both internal and external customers in a timely efficient and courteous manner.

  • Implement the activities of the section to ensure customers are satisfied with the prosecution service.

  • Schedule appointments of visitors with the ODPP management, to ensure minimal disruptions to the ODPP operations due to unplanned visits, and to enhance efficiency in the delivery of service to the public

  • Receive and usher of guests to the waiting area
    to ensure the reception is orderly, and
    that the visitors are comfortable as they wail lo be attended to.

  • Vet visitors to ODPP, which includes screening the reasons and notifying the relevant
    departments in a timely manner in line with the ODPP service delivery procedures, to ensure ODPP meets the needs of stakeholders and within high quality standards.

  • Share sensitive information with Administration Division to enhance security of staff.

  • Compile information for the preparation of procurement plan for allocation of adequate resources for effective service delivery.

  • Collect and analyze customer feedback on the quality of service offered by ODPP, and present to the Senior Receptionist Officer for presentation to management, lo ensure appropriate solutions are identified and implemented to address the gaps in service delivery.
