Requirements for appointment

For appointment lo this grade, an officer must have; -

  • Served in the grade of Senior Personal Secretary, DOP 9 comparable and relevant position in public Service for a minimum period of two (2) years;

  • Bachelor's degree in Social Sciences, secretarial studies, Business and office management and any other relevant qualifications from a recognized institution.

  • The following qualifications from the Kenya National Examinations Council:

  • Shorthand IT] (minimum 120 w.p.m.)

  • Typewriting DL (50 w.p.m.) / Computerized Document Processing TI

  • Business English TIL Communication TI

  • Commerce IT

  • Office Management [1 / Office Administration and Management II

  • Secretarial Duties Il;

  • Higher Diploma in Secretarial Studies from the Kenya National Examination Council or equivalent qualifications from a recognized institution.

  • Attended Secretarial Management Course from the Kenya Institute of administration (KIA) or any other Government Training Institute lasting not less than three (3) weeks from a recognized institution;

  • A Certificate in Computer Applications (Windows, Ms-Word, Ms-Excel, Ms- Access and Internet) from a recognized institution from a recognized institution; and

    Duties and Responsibilities

    An officer at this level may be deployed to work al any of the Departments at the Headquarters or County Offices under the guidance of a senior officer. Specifically, duties and responsibilities will entail: -

  • Interpret and implement office administrative service cadre policies, procedures in consultation with ODPP Management

  • Maintain an up-to-date record of Office Administrative Service Stall Establishment in the ODPP.

  • Review the office administrative cadre curriculum in liaison with other institution such as PTl and KEN ASA,

  • Coach, mentor and counsel office administrative service personnel working under

  • Establish and monitor the procedures for record keeping of correspondence and file movements

  • Safeguard the image of the ODPP through provision of policies and procedures that ensure high quality customer service to all stakeholders.

  • Supervise and make sure there is fair distribution and allocation of duties and
    responsibilities in the office so that the ODPP can achieve its targets through team work.

  • Manage e-office in order to improve on service delivery
    and quality work in the Office.

  • Participate and oversee the implementation of the development of protocol guidelines in order to enhance the image of the ODPF and stakeholders.

  • Participate in the recruitment, selection and promotion of office administrative service personnel in ODPF

  • Verify and analyze office administrative service personnel data for postings and deployment with the ODPP for efficient and effective service delivery.

  • Supervise the security of office records and equipment, to ensure the security of information, and to limit access to unauthorized persons to ensure confidentiality is maintained and reduce risks lo ODPP

  • Oversee the Cleaning the office in lime with the set cleaning procedures and standards to ensure compliance with the OHSA and to enhance the attractiveness of the working environment

  • Direct the acquisition and compilation of statistical data for decision making in the realization of the ODPP Mandate.

  • Coordinate schedule of meetings in the office to enhance efficiency in service delivery

  • Oversee implementation of office diaries appointments & travel itineraries, to ensure proper coordination of activities that enhances delivery against set timelines and quality standards

  • Attend to dignitaries in line with the set protocol, to ensure the office presents a positive image of ODPT

  • Participate in the research and preparation of reports for effective delivery of technical services in the ODFP,

  • Manage office equipment in the delivery of office services, and ensure proper reporting of any repairs needed to enhance efficiency and effectiveness in the Management of assets

  • Record dictation and shorthand and transcribe it in type written form in High level meetings to ensure proper records in ODPP,

  • Respond to routine correspondences for effective and efficient communications in the ODFP

  • Participate in the preparation of high-level reports, speeches, press releases for the Director and heads of Departments and Regional Heads for effective and efficient delivery of service.

  • Act as the liaison officer in order to enhance collaboration with other stakeholders
    and the public.
