  • Primary objectives would be to assist Financial Manager in all aspects of month-end preparations

    General Description

  • Processing & reconciling Creditors goods received notes, invoices & statements on Pastel.

  • Following up on outstanding queries on accounts regarding Creditors invoices, pods, statements, etc

  • All administration work related to the Finance Department

    Principal Duties and Responsibilities

  • Booking vehicles in for a service, co-ordinating service times, payments, getting approvals. (including branches)

  • Assisting with the answering of phone calls in the absence of the receptionist. This will need to be done in line with the telephone Etiquette policy

  • Handle all travel requirements on behalf of all staff. This would include flights, booking of cars, accommodation etc. Establish what medical requirements may exist and communicate these to the health and safety officer and staff member to organize. Also assist with Visa applications, Cross border and insurance coverage letters and completing necessary forms.

  • Assist with updating all financial policies.

  • Payment of fines on behalf of staff and maintain billing list for Financial Manager.

  • Handling the required trade reference requests for Customer Credit Applications and making sure all the required documents are received and keeping the Customers Credit App list up to date.

  • Keep the car file updated, car licencing dates, payments, and contracts.

  • Help maintain an asset list for Jhb and branches. When items are purchased in
    branches they must be recorded as an asset or even on an asset register, so that we know what ours in the branches are.

  • Assist with organizing company & customer functions.

  • All filing and admin in the finance department.

  • Collect at post offices, go to the bank, buying of groceries and general errands for Finance Department.

  • We work as a team and therefore helping others when you are not busy will be appreciated.

  • Devote his/her full attention during working hours to business and affairs of the company.

    Knowledge, Skills and Abilities

  • Matriculated with 4-5 years’ experience in a financial department position.

    Personality or Personal Traits

  • Friendly and outgoing.

  • Well-spoken and presentable.

  • Fluent in English.

  • Diligent and focused on meeting monthly deadlines.

  • Accuracy is a must in this position.
