    Overview:

  • IBTCI is seeking an Administration and Logistics Specialist to support its work under a USAID-funded project if awarded. This position will manage the IBTCI field office’s administrative and personnel (human resources) activities. Must be a Malawi National. The position is contingent upon award. Must be a Malawi National.

    Essential Duties/Tasks and Responsibilities:

  • Manage all aspects of day-to-day financial operations and record keeping in the project virtual office;

  • Assist in the implementation of effective & efficient systems of internal controls;

  • Issue bidding request for project services that follow USAID protocols

  • Ensure compliance with IBTCI and USAID policies and procedures;

  • Work collaboratively with the Project Director to organize purchases of office materials and supplies, plus procurement of other project needs, in accordance with IBTCI procedures;

  • Create all payment documents for proper and adequate back-up;

  • Keep informed of changes in Malawian labor laws that are likely to affect local personnel;

  • Provide support to Malawi IBTCI office on all HR matters;

  • Ensure
    timely preparation of financial reports required by both IBTCI HQ and donors;

  • Other duties as assigned.

  • Serve in the above consultant capacity to support the IBTCI technical practices of Crisis, Conflict & Governance, Agriculture & Food Security & Economic, Education & Growth and Global Health and/or Business Development divisions.

  • This position does not authorize/require the consultant to directly communicate with IBTCI clients.

  • This position does not authorize/require the consultant to have decision making authority on final work product.

    Qualifications

    Minimum Requirements:

  • Bachelor’s degree in a relevant subject;

  • Full proficiency with Microsoft Office, particularly Word and Excel required;

  • Previous experience with QuickBooks or other accounting software system required;

  • At least 2 years of previous accounting experience;

  • Oral and written fluency in English required. Also Chichewa fluency strongly preferred.

  • Education: Bachelor’s degree in Accounting, Economics, Finance, Business Administration, Public Administration, or another discipline related to Accounting is required.
