    Background and General Objective

  • Heifer Kenya has offices in Nairobi, Kisumu and Eldoret. The Nairobi Office located along Kabarnet Road, Off Ngong Road hosts part of its operational and project teams. In addition, the Nairobi Office occasionally serves as a meeting and stop over hub for its staff and partners across the Country and beyond.

  • The general objective is to ensure that the Heifer Kenya Nairobi Office – “’Ndama Place’’ maintains the highest facilities management standards while remaining attractive, conducive, and hospitable both as a workplace for its staff and business premises for its partners.

    Terms of Reference

  • Heifer Kenya is seeking for an eligible service provider to offer Cleaning & Hospitality services at its Nairobi premises

    Scope of Work

  • Office cleaning & fumigation Services

  • Hospitality services (tea, coffee, and beverage preparation)

    Expected Deliverables

  • The contracted service provider is expected to undertake the following tasks at Heifer Kenya Offices at Ndama Place, Kabarnet Road Nairobi: –

    Cleaning Services

  • Wipe, dust, clean and sanitise all the desks tops, workstations, computer surfaces, shelves cabinets, tables chairs, stairway rails , door knobs , toilet basins, sinks, taps, mirrors, windows, doors, walls and floors and any other fittings / common surfaces using appropriate detergents and chemicals.

  • Remove rubbish, dirt, stains, cobwebs or spills or foreign objects and generally ensure that all areas including walls are free from any blemish

  • Collect and dispose all rubbish, dirt, waste materials or refuse from the building, segregate, and place in designated bins while ensuring that all areas are free from any foul or unpleasant odours

  • Replenish the washroom facilities with the provided accessories including tissue paper, hand wash soap, disinfectants, air freshener and automatic foot
    peddled sanitary bins.

  • Arrange for fumigation of the offices whenever the need arises.

    Hospitality Services

  • Preparation of morning tea for approximately 20 staff served from the common kitchen.

  • Ensure the adequate supply of water at the respective water dispensers, boardroom, and individual offices as applicable.

  • Maintenance of the common kitchen under expected hygiene and OSHA standards.

  • Support the setup of meetings at the boardroom and or staff events within the premises including applicable hospitality services in liaison with the administrative assistant.

    Supervision and Coordination

  • The successful service provider will work in liaison with the Finance & Administration Assistant.

  • The Human Resources Manager will provide overall assignment oversight.

  • Certificate of Incorporation or Business Registration Certificate.

  • A Partnership Deed if you are running a partnership business.

  • Audited financial statements for the last three years.

  • Valid CR12 Certificate.

  • KRA online PIN Certificate.

  • Valid Tax Compliance Certificate.

  • Certificate of Incorporation or Business Registration Certificate.

  • Physical location including town, building, room number and postal address.

  • Directors’ / Partners’ personal guarantee.

  • Trade reference and clientele list where similar services have been or are being provided including their respective contacts.
