Gap Recruitment Services Limited Consular Assistant and Receptionist Jobs in Kenya



Key Roles & Responsibilities

  • Respond to and give general advice in consular cases by phone and e‑mail.

  • Manage bookings for consular section (passports, citizenship cases, registration of coordination numbers).

  • Update the electronic booking schedule.

  • Handle the consular mailbox and consular phone hours.

  • Assist with oral and written translations from Somali to English.

  • Manage the embassy front desk: greet visitors, respond to calls, handle queries and complaints, pass on messages, and transfer calls.

  • Update the Embassy phone list.

  • Manage bookings of Embassy meeting rooms.

  • Receive and dispatch deliveries.

  • Assist with mail handling and pouch shipments.

  • Perform ad hoc administrative duties.

  • Carry out other duties as assigned by the Head of Administration and Consular Section.

    Education & Experience

  • University degree or equivalent from a recognized institution in a relevant field.

  • Minimum of 3 years of relevant working experience.

  • Experience in consular work at a foreign mission is a strong advantage.

    Other Essential Qualifications

  • Excellent command of oral and written English, Somali, and Kiswahili.

  • Strong problem‑solving, administrative, and organizational skills.

  • Passionate and committed learner with adaptability to new guidelines.

  • Excellent sense of polite and correct service.

  • Ability to handle and respond to people in distress.

  • Initiative‑driven and able to adjust to changing priorities.

  • Strong organizational and interpersonal skills.

  • Effective written and oral communication skills.

  • Team player with discretion, reliability, and integrity.

  • Punctual and able to meet strict deadlines.

  • Proficiency in MS Office programs (Word, Outlook, Excel).
