Experience and Qualifications
3 – 5 years relevant experience
Budget Preparation and info gathering
Preparing for meetings.
Filing – Electronic
Travel arrangements – Local & International, Accommodation, Car hire and door to door transfers
Answering of telephone/s and screening of telephone calls
Screening of e-mails, when required
Arranging parking and entrance into the building, welcome guest at reception and escort to meeting room
Ordering supplies and maintaining stationery, monitoring expenditure and budget.
Facilitate and manage staff on boarding / off boarding process.
Co-ordinate and manage Asset register, (FAMS System), 3G requirements, and compliance videos are completed correctly.
Composing correspondence, completing monthly CEO reports for EXCO or other material for review and signoff.
Personal Assistant duties as and when required.
Supplier – New Account info gathering and set up with yearly request for all compliancy docs i.e. BBEE certificate
Invoicing: Request and upload
Purchase orders: Obtain 2-3 quotations, confirm budget, place order, distribute order to requester, GRV order for payment
Budget verification and assistance
Reconciliation of accounts and ensuring accuracy that transactions are allocated to the correct GL account number.
Submission of invoices on IPS and providing proof of payment to relevant service providers ensuring continuous customer service at all times.
Reconciling of telephone accounts and parking charge outs.
Ensure all invoices are received monthly, obtain signatures and upload for payment
TCM T& M: Obtain xls sheet from supplier, review, submit queries if necessary, pivot table, upload on Requisition Wizard, complete requisition on iProcurement system & GRV
Purchase of all assets, stationery, promotional items for department and other BU’s within FNB, when required
Maintain a good relationship with all suppliers by being to “go to” person for all queries, complaints, compliments, etc
Coordinating and managing events for the IT department team and stakeholders.
Project and Office Admin Personal Assistant Bookkeeping Procurement
Manage costs / expenses within approved budget to achieve cost efficiencies
Deliver exceptional service that exceeds customers’ expectations through proactive, innovative and appropriate solutions
Cultivate and manage objective working relationships with a variety of stakeholders, including end-users, SME’s, project managers and senior staff members
Resolve all customer queries efficiently, and within agreed timelines.
Provide efficient and effective administration support to ensure accuracy in the functional area.
Comply with governance in terms of legislative and audit requirements
Set up and maintain filing systems for the business unit to ensure efficient service is provided
Maintenance of all administrative processes for the departments operational activities
Provide timeous and accurate Management Information.
Manage own development to increase own competencies
Plan and manage performance, skills development, employment equity, talent and culture of team in order to improve innovation, achieve efficiencies and increase competencies.
