Program Assistant Intern
Provide administrative and logistical support to program teams in Nairobi and field locations within Kenya Country Programs. Assists assigned managers and team members by receiving and composing communications as correspondence, and replies to inquiries on program related matters.
Provide operational support to the programs department on a diverse range of activities related to all stages of the project cycle (identification, preparation, appraisal, negotiations, supervision, and implementation, restructuring and closing).
To assist the program manager in following up program deadlines- Projects quarterly liquidation and reporting.
Making correspondence with other program actors on various programmatic issues.
Support Knowledge management practices for the Country office in relation to programmatic issues.
Archive all project reports received from the field in the SharePoint.
Prepare program updates/briefs for meet and maintain the program calendar.
Maintain an up to date filing system for each project.
Synthesize and analyze quantitative and qualitative data/reports received on a monthly/quarterly basis.
Represent program Unit where necessary (meetings, workshop, seminars).
Facilitate periodic reviews with partners’ dialogue, learning and reflection from assessments, program progress monitoring etc.
Assist in preparation of Board meetings: Organize program meetings and take minutes.
Orient and support new staff on data requirements of their projects.
Review program documents (proposals, reports, briefs, Program documents, Partnership agreements.)
Provide support to the programs department where required.
Performs other related duties as required.
Minimum Bachelor’s degree in social sciences
Field experience in administrative work and organizing events.
Demonstrated ability to analyze quantitative and qualitative data and use it high quality reporting and learning.
Ability to draft formal communications.
Previous experience in developing, planning and reporting on project documents and data collection tools.
Strong interpersonal skills and the ability to work in a team.
Good organizational and time management skills.
Excellent analytical skills.
Excellent written and oral communication skills in English.
Computer proficiency in word processing, PowerPoint, database, spreadsheet and graphics presentation and other applications.
Experience of working with development, fast and dynamic work environments.
Integrity, objectivity and professional competence.
Demonstrated sensitivity to (cultural) diversity and gender issues
