Purpose of the Job:

  • To enhance the executive office’s effectiveness by providing effective and efficient logistical and administrative support.

    Main Duties and Responsibilities:

  • The jobholder’s roles and responsibilities are outlined as follows:

    Operational Roles and Responsibilities

  • Provide high-level administrative support to the Company executives by handling confidential information, compiling reports, handling requests and performing administrative functions;

  • Act as the point of contact between the Managing Director and internal/external clients;

  • Welcome guests and customers, make enquiries on behalf of the Managing Director and answering or directing inquiries;

  • Maintain office supplies inventory in the Managing Director’s office by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies;

  • Ensure operation of equipment in the Managing Director’s office by keeping track of preventive maintenance requirements, calling for repairs and maintaining equipment inventories;

  • Undertake the tasks of receiving calls, take messages and routing correspondence;

  • Maintain diary, arrange meetings and appointments and provide reminders;

  • Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution;

  • Make travel and accommodation arrangements for the Managing Director;

  • Take dictation and minutes and accurately enter data;

  • Produce reports, presentations and briefs as may be required to;

  • Develop and carry out an efficient documentation and filing system;

  • Maintain customer confidence and protect operations by keeping information

  • Perform any other relevant duties that may
    be assigned

    Requirements for Appointment

  • Bachelor’s Degree in relevant Field with 3 years working experience or higher National Diploma with 6 years’ Experience or Serving Officers in grade 7 with Bachelor’s Degree and 3 years’ Experience

  • Must demonstrate high integrity and ethical practice;

  • Must demonstrate ability to work independently with minimum supervision;

  • Must be a team player who is able to work cordially in teams;

  • Must demonstrate ability to multitask;

  • Must demonstrate commitment to operational effectiveness;

  • Should have ability to solve problems by applying relevant business knowledge;

  • Should demonstrate professional expertise in the relevant work area;

  • Must have the ability to communicate for both written and oral communication;

  • Must be able to work under pressure;

  • Must be a flexible person, who is willing to learn and able to work flexible hours to achieve goals;

  • Must have knowledge in use of MS office.
